Advantages Of PowerPoint

Microsoft PowerPoint is an excellent tool for presentations and more. Here are some of its key advantages:

PowerPoint is available for both Windows and macOS , as well as for mobile devices running iOS and Android. This makes it a convenient tool for creating presentations, regardless of what type of device you are using. You can also use PowerPoint for the Web in a web browser, making it even more accessible. Not a lot of presentation software offers such flexibility.

PowerPoint is the most feature-rich presentation software out there. It has everything you need to create a professional-looking presentation, including built-in templates, themes, and much more. Other presentation software simply cannot compete with PowerPoint in this regard.

PowerPoint is the most widely used presentation software, and it’s the industry standard tool for preparing presentations. People are generally familiar with how PowerPoint works, which makes it easy to use when giving presentations. It is also the most compatible presentation software , meaning that it can be opened and viewed on just about any device.

PowerPoint comes with a variety of built-in themes and templates that you can use to make your presentation look more professional. If you’re not a design expert, these templates can be a lifesaver. With just a few clicks, you can make your presentation look great without spending hours on design.

The interface of PowerPoint is also quite versatile. You can easily access all the needed features by using the toolbar options. Its interface is also customizable , so you can change it to suit your needs better.

PowerPoint is relatively easy to use , even if you’ve never used it before. Of course, it takes some time to learn all the features and how to use them effectively. However, you should be able to start creating basic presentations without much trouble.

You can open and edit presentations saved in various formats with PowerPoint. Some of the supported formats include pptx, ppt, gif, mp4, jpeg , and more. This is a convenient feature if you need to import or export presentations in variable programs. Other presentation software supports only a limited number of formats.

PowerPoint also integrates smoothly with other Microsoft Office programs, such as Word and Excel. This makes it easy to create presentations that include data from other Office programs. Moreover, PowerPoint files are supported by most online storage services, such as Google Drive and Dropbox, for seamless sharing.

PowerPoint also supports add-ins , which are small programs that add additional features to the software. There are a large number of add-ins available for PowerPoint that you can use to customize your presentations further.

The Review feature in PowerPoint allows you to compare two presentations side-by-side . This is a handy feature if you need to spot the differences between two versions of a presentation. It’s especially useful when you want to review the changes to your presentation made by someone else.

PowerPoint makes it relatively easy to collaborate with others on a presentation. You can easily share your presentation with others and allow them to view it or make changes by sharing a link. This is a convenient feature if you are working on a team project.

PowerPoint is also available in a mobile version , which allows you to create and edit presentations on the go. You can download the PowerPoint app for free from the App Store or Google Play to use on iOS or Android devices. This is a handy feature if you need to make last-minute changes to your presentation.

One of the features of the PowerPoint software that most users find useful is the password protection feature. This allows you to set a password for your presentation so that only those who know the password can open and view it. Most other presentation software does not include this component.

Disadvantages of PowerPoint

Now that we’ve looked at the advantages of PowerPoint, let’s take a look at some of its disadvantages:

It’s been around three decades since PowerPoint was first released, and in that time, it hasn’t seen a whole lot of innovation. This lack of innovation can make it feel dated compared to some of the newer presentation software options on the market. Some users find PowerPoint slides boring, as there is not much scope to create creative or interactive presentations.

The features and tools of PowerPoint can be a bit complex to learn , especially if you’ve never used the software before. It can take some time to get a grasp on how to use all the features effectively. And if you want to create more complex presentations, it may take even longer.

PowerPoint can also have some performance issues, especially on weak systems. The software can be a bit resource-intensive, so it may run slowly on older computers . Additionally, large or complex presentations may take longer to load and may not run as smoothly as you’d like.

If you want to purchase PowerPoint outright, it’s relatively expensive compared to some of the other presentation software options on the market. Google Slides offers many of the same features as PowerPoint, but it’s free to use.

PowerPoint is a widely used presentation software that is available for all major operating systems. It offers a large number of features and is widely accepted.  However, it can be a bit complex to learn and is relatively expensive. Despite these disadvantages, PowerPoint is still a popular choice for creating presentations.

Disadvantages of PowerPoint

Disdvantages of PowerPoint

Overreliance on visuals

While visuals can enhance a presentation, overreliance on them can be a disadvantage. When too much emphasis is placed on visuals, the audience may become distracted or miss essential information. It's crucial to strike a balance between visuals and textual content to ensure the message is effectively conveyed.

Potential for information overload

Powerpoint Presentations have the potential to overwhelm the audience with excessive information. Presenters may feel compelled to include every detail on the slides, leading to information overload. It's important to prioritise key points and keep the content concise and focused to prevent overwhelming the audience.

Lack of interactivity

PowerPoint is primarily a one-way communication tool, limiting interactivity during presentations. While you can incorporate interactive elements, such as hyperlinks or quizzes, the level of interaction is often limited. This can hinder audience engagement and participation, particularly in scenarios that require active involvement.

Limited customisation options

While PowerPoint provides various design templates, the customisation options may be limited compared to dedicated design software. Presenters seeking highly customised and unique designs may find PowerPoint's options somewhat restrictive. However, for most presentations, the available templates and customisation features are sufficient.

Technical glitches and compatibility issues

Technical glitches and compatibility issues can occasionally occur when using PowerPoint. File corruption, formatting inconsistencies, or software compatibility problems can disrupt the smooth delivery of your presentation. It's crucial to test your presentation on the actual equipment or platform to minimise the risk of technical difficulties.

Dependency on the presenter

Powerpoint Presentations often rely heavily on the presenter's ability to deliver the content effectively. A presenter who lacks public speaking skills or fails to engage the audience may negatively impact the overall effectiveness of the presentation. Developing strong presentation skills and practising delivering your presentation is important to ensure a successful outcome.

Not suitable for all presentation types

While PowerPoint is a versatile tool, it may not be the best choice for all presentation types. For instance, highly technical or data-heavy presentations may require more specialised software or tools that offer advanced data visualisation capabilities. It's important to assess the specific requirements of your presentation and choose the appropriate tool accordingly.

Accessibility challenges

Powerpoint Presentations may pose accessibility challenges for individuals with disabilities. Issues such as small font sizes, lack of alt text for images, or inadequate colour contrast can make it difficult for visually impaired or hearing-impaired individuals to fully engage with the content. It's important to follow accessibility guidelines and make accommodations to ensure inclusivity.

Copyright and intellectual property concerns

When using images, videos, or other media in Powerpoint Presentations, it's essential to respect copyright and intellectual property rights. Failure to obtain proper permissions or give proper attribution can lead to legal issues. It's crucial to use licensed or royalty-free media or obtain explicit permission from copyright holders before including them in your presentations.

Risk of boring and monotonous presentations

Powerpoint Presentations have earned a reputation for being boring and monotonous if not designed and delivered effectively. The reliance on bullet points and text-heavy slides can result in a lack of variety and engagement. It's important to employ storytelling techniques, incorporate multimedia elements, and vary the presentation format to keep the audience interested and attentive.

The advantages and disadvantages of powerpoint.

  • Disadvantages

1. PowerPoint— Advantage or Disadvantage for the Presenter?

PowerPoint is the most popular presentation software. It is regarded by many as the most useful and accessible way to create and present visual aids to the audience.

On the other hand, others believe it has created its own mind-set which forces presenters to spend countless hours thinking in PowerPoint and developing slides. A political party has even formed to ban PowerPoint in Switzerland. Depending on one's perspective, it seems that many advantages could easily be viewed as disadvantages.

When used correctly, PowerPoint is a helpful program for creating an engaging presentation.

Look over the list below to see where you stand— with or against PowerPoint.

term to know PowerPoint An electronic slide presentation created and presented using the program (verb) to communicate to (an audience) by electronic slides.

1a. Advantages

Quick and easy: The basic features are easy to master and can make you appear to be organized, even if you are not.

Simple bullet points : It can reduce complicated messages to simple bullet points. Bullet points are a good basis for a presentation and remind the speaker of main points and the organization of the message.

Easy to create a colorful, attractive design: Using the standard templates and themes, you can create something visually appealing, even if you do not have much knowledge of basic graphic design principles.

Easy to modify: When compared to other visual aids such as charts, posters, or objects, it is easy to modify.

Easily re-order presentation: with a simple drag and drop or using key strokes, you can move slides to re-order the presentation.

Finally, PowerPoint is integrated with other products that allow you to include parts of documents, spread sheets, and graphics.

Audience size: PowerPoint slides are generally easier to see by a large audience when projected than other visual aids.

Easy to present: You can easily advance the slides in the presentation one after another with a simple key stroke while still maintaining eye contact with the audience.

No need for handouts: They look good visually and can be easily read if you have a projector and screen that is large enough for the entire room.

term to know Bullet Points Bulleted items – known as bullet points – may be short phrases, single sentences, or of paragraph length; used to introduce items in a list.

1b. Disadvantages

Design power pointless: Gives the illusion of content and coherence, when in fact there is really not much substance or connection between the different points on the slides.

PowerPoint excess: Some speakers create presentations so they have slides to present rather than outlining, organizing, and focusing on the message.

Replaces planning and preparation: PowerPoint is a convenient prop for poor speakers, as it can reduce complicated messages to simple bullet points and elevates style over substance.

Oversimplification of topic: The linear nature of PowerPoint forces the presenter to reduce complex subjects to a set of bullet items that are too weak to support decision-making or show the complexity of an issue.

Feature abundance: While the basic features are easy to use and apply, a speaker can get carried away and try to use all the features at once rather than simply supporting a message. Too many flying letters, animations, and sound effects without seeing much original thought or analysis can be a real issue. In many cases, the medium shoves the message aside.

Basic equipment required: You will need to have a computer and projection equipment in place to display the slides to the audience.

Focus on medium, not message: Too many people forget that they are making a presentation first and that PowerPoint is just a tool.

What are the advantages and disadvatages of PowerPoint

  • PowerPoint tutorial /

Featured image for “What are the advantages and disadvatages of PowerPoint”

PowerPoint is one of the most popular software for presentations. It is part of the Microsoft Office suite and can be used for personal, business, and educational purposes. Most known for its templates and easiness of use, PowerPoint had conquered the presentations game.

From beginners to professional speakers, this software allows you to build your own presentations using text, images, video, audios, tables of data. There are a variety of animations and transitions that can help in delivering the presentation the way you want.

We’ve been working for five years in Presentation Design, and most of our work is done using PowerPoint.

Even though I’ve been using it over the past 5 years, I’m learning something new every once in a while. I’m always looking to improve my process, do things differently or executing the wrong command. Some mistakes are good too, eh? I feel like PowerPoint is a tool which is overlooked by many people in the design industry. When I switch to other software, I’m thinking <<oh, I could have done this a lot faster in PowerPoint>>. I like order and precision. Through PowerPoint’s  grid and guides features, I’m able to satisfy these cravings of mine and create consistent and neat presentations.

Advantages of PowerPoint

1. It can be used virtually anywhere

Put your presentation on a USB flash drive or in any cloud storage app and you will have your PowerPoint presentation at hand anytime. It is also included in standard professional settings, so with your user license, you can access your presentation from anywhere.

2. It is a collaborative solution

Work from home is now a normal thing to do. Tools that provide solutions for working together with your team even if you are in different locations are in high demand. PowerPoint adapted to this situation and with its online cloud storage, you can now work on presentations at the same time, or work on the same presentation without sending it to each other.

3. You can choose to create your own design or use existing ones

PowerPoint offers you full control over your slides’ appearances. You have the freedom to customize your presentation with your own design. As it is easy to modify and play with the elements given by this software, you can create the perfect presentation for yourself.

There are also templates already integrated into the software for visually appealing presentations and for those who want a quick and nice design. Furthermore, PowerPoint will give you design ideas with the images and elements you chose to have on slides.

If you customize the slides you have the Master Slide, it will help you set the fonts, images (logos), and other preferences for all the slides. The master slide is the top slide in the thumbnail pane on the left side of the window.

4. Multiple uses

An adaptable and perceptive tool is how our founder described PowerPoint in a previous article. That is because this software is not only for presentations (even though it is most known for them), but also for other types of materials, such as flyers, marketing materials, gifs, videos, or CVs. We do PowerPoint infographics, our social media posts, and presentations for clients.

89% of people use PowerPoint to create presentations.

Read more about how you can use PowerPoint:

PowerPoint is more than just a presentation tool

5. Export in different formats

With PowerPoint, you can export your materials in other formats than .pptx. We talked previously about all the types of materials you can create in this software and for them, it offers alternatives of saving you work.

Presentations can be saved also in .pdf, this will reduce their size, videos can be exported as mp4 and for gifs, there is the specific option to save them as Animated gifs. Of course, there is also the option of saving a slide as .png or .jpg.

6. It facilitates an effective way of communication with the audience

Most of the time, PowerPoint is used for presenting to a larger audience (a few things have changed in 2020, but a zoom presentation looks just as good), as it is easier to be projected. Choose your communication style, do you want to rely more on images, text, or videos, all of them can be easily integrated into PowerPoint.

65% of the population are visual learners

7. You can insert multimedia formats

Visuals are the key in PowerPoint. Images and videos help you explain your idea better and in an engaging way in any presentation. There are some basic sounds that you can use or insert your own audio for the desired effect.

Play with all the functionalities of this tool and use it to its maximum.

8. Extremely efficient tool

Once you get familiar with the software, there are all kinds of features that you can use to become an expert in PowerPoint. We can even name 84 shortcuts that will change the way you use it and will also save you a lot of time.

Learn for yourself:

84 PowerPoint Shortcuts To Improve Your Presentation Game

9. It is accessible for all categories of users

Most of the time employees/staff have already the Microsoft license on their work computers, with PowerPoint included. Also, universities acquire the suite so students and teachers cand use reach out and use them.

Disadvantages of PowerPoint

1. High risk of technical issues

It can happen anytime, there are a lot of variables that intervene when you are about to use PowerPoint for presenting. Your computer can stop working, get an update right before you start, or lose power in the middle of the presentation. There is always the connectivity issue, do you use HDMI, VGA or do you have an adaptor. PowerPoint also has some specifics ada[ted for your computer, like fonts or videos, and if you don’t embed them or you don’t put them in a folder with the presentation they won’t work on somebody else’s computer.

2. Overuse of information

After you accommodate with the software it becomes very easy to get lost in all the options you have. How much text is too much? Are there enough images? What font to use? How many fonts to use? By adding a lot of things you will lose sight of the purpose of the presentation.

We know that there is a lot of important information you want to transmit, but leave some mystery for the delivery part.

3. Predisposal to death by PowerPoint

PowerPoint presentations are very common in conferences, business meetings and universities, therefore your audience has seen quite a lot of presentations before yours. You need to catch your audience’s attention from the beginning with your presentation looks or with your way of presenting, otherwise, they will get bored and won’t listen to you present.  Make sure you put enough time into preparing your PowerPoint material, a good presentation with a fine speech will hit the target.

Avoid templates as much as possible if you want to impress, or work on them and add your unique style to them.

4. Presenters rely too much on slides

Sometimes when you are too focused on preparing the slides you may forget to actually prepare to deliver the presentation and you will end up reading from the slides. The audience wants to hear more from the speaker than what is presented on the slides, otherwise they could have looked over the presentation themselves.

5. Overuse of presentations

There are situations when you get so used to the tool that you will start making a presentation for everything. Every report or status will become easier to do in PowerPoint for you, but it won’t be that fun for your colleagues and will cost you time.

We recommend using Powerpoint for all kinds of materials, not just presentations. This tool can give you freedom in design and also help you with predefined elements.

If you want to make a presentation yourself, invest time, look for tutorials or just reach out to an agency to help you create the right presentation.

But, there are several other advantages of using Microsoft PowerPoint for your presentations too. In this article, I’ll some of the most effective benefits of using Microsoft PowerPoint for presentation design!

1.   Most Widely Accepted File Format

powerpoint presentation on advantages and disadvantages

Microsoft PowerPoint is a widely accepted file format where slides are used to convey information. It is a standard component of the Microsoft Office Suite and is compatible with Google Slides, Keynote, and other open-source presentation software.

According to some research results regarding the popularity and use of presentation software, it is estimated that PowerPoint is currently installed on more than a billion computers worldwide ! It is believed that there might be about 30 million PowerPoint presentations created every day.

The advantage of using such a popular and widely used software program is that it is most probably a familiar program for the person you share a presentation with.

2.   Wide Variety of File Export Options

A great advantage offered by PowerPoint is that you can export the whole presentation, or parts of it, in a variety of formats. PowerPoint presentations can also be made available on many different devices, and you can always control what content you want to display.

As you don’t have to send a presentation necessarily in .ppt or .pptx format, the receiver doesn’t require PowerPoint or PowerPoint Viewer to open the presentation.

You can export in PDF format and your layout and design will not be altered. The presentation’s slides can also be saved and exported in .png or .jpg format.

If needed, a presentation can also be exported to a video and saved in Mp4 format. If gifs form part of your presentation, they can be saved and exported as Animated GIFs .

You always have the print option to export your presentation or parts of the presentation to Word. When you’ve exported it to Word the content can be edited before printing it.

Whichever way of exporting you decide on, you can export the presentation either as a whole or only some of the slides.  And it can be sent as an attachment with an email or you can use the Cloud to facilitate the saving and exporting processes of the presentation.

3.   Provides huge Flexibility in Design & Creativity

PowerPoint provides huge flexibility in design and creativity. You can, for instance, use its visual hierarchy features when you create your slides. With this feature, you assure that the right elements and content catch the eye.

Other features include the merging of shapes, the creation of layers, and the creative use of color. You also get an eyedropper tool in PowerPoint that allows you to use any color from your screen in your presentation!

With the Design Ideas feature , you can create the content of a slide and PowerPoint will offer you a variety of design choices to make it better.

The design features PowerPoint offers can in many aspects be compared to advanced design software solutions like Adobe InDesign. You don’t need separate software to design your slides – PowerPoint provides you with built-in features.

4.   Allows you to Use Creative Templates

powerpoint presentation on advantages and disadvantages

The designs of your presentations are what catch the eye and help you to convey your message to your audience. PowerPoint’s creative templates spare you the time of designing your own templates.

However, if you are a good designer yourself, PowerPoint allows you to create your own templates if you want to.

Note – Check out some of the most popular PowerPoint templates on the internet!

When using PowerPoint’s creative templates feature, it automatically generates design ideas to choose from. You get virtually unlimited options because this feature matches the content you are creating to professionally designed layouts in the background.

This template creation feature is a great advantage for users without any design background. It lets you design presentations that look professional even if you don’t have a design background.

5.   Functionality to Use Both Online and Offline

PowerPoint offers you the option to work either online or offline. When you’re using PowerPoint online you can create and share basic presentations directly in your browser.

But it must be remembered that web-based PowerPoint doesn’t have all the features that you’ll have access to with desktop PowerPoint.  For “normal” presentations the online web version is good enough and you can present your slide show from anywhere where you have internet access.

To utilize all the features of PowerPoint you have to install the software on your desktop device.

PowerPoint offers you the freedom to work online or offline whichever mode suits you the best for a specific presentation. Many PowerPoint users work with both modes – depending on what they are creating and for what purpose.

6.   Allows easy Collaboration and Sharing with other Team Members

PowerPoint is an ideal tool to share and collaborate with team members when you are creating a presentation as a team. You have various options.

You can independently create a presentation and then send it to team members for comments or editing. Or you can work simultaneously on the same presentation with others via web-based PowerPoint or by saving your desktop-created presentation in the Cloud.

7.   Option to Add a vast Variety of Multimedia

PowerPoint provides you with tools to make any presentation more interesting by using multi-media. When using PowerPoint you can in the same presentation have

  • text with the option to install additional fonts ,
  • videos and video snippets,
  • background music,
  • a narrator’s voice explaining the visual material on the screen,
  • graphics to illustrate tendencies,
  • tables to compare information, and more.

And you don’t need separate tools to create interesting presentations – everything is built-in into PowerPoint. You can either just add the various types of files to the presentation or you can add the formats as such into the presentation.

8.   Suitable for Beginners and Advanced Users alike

The versatility of PowerPoint ensures that on the one hand, presentation creators with advanced design skills are not disappointed with the design tools and possibilities offered by PowerPoint and on the other hand, beginners and people without any designing background can create professional-looking presentations.

This is one of the most important advantages of PowerPoint – anyone can use it successfully.

9.   Cost is relatively Inexpensive

PowerPoint is normally part of the Microsoft Office package and is included in the Microsoft Office one-off price or subscription. But if you are not a Microsoft Office user, you can purchase PowerPoint from the Microsoft Store at a reasonable price of about $160.

Note – Check out this limited-time deal to get Office 365 1-year subscription for as little as about $60 on Amazon!

Once you’ve purchased PowerPoint you can use it without extra charges to create presentations and to present them for non-commercial purposes. However, there are licensing and relatively small annual fees involved if you use the PowerPoint presentations commercially.

10. Suitable for Teaching

A PowerPoint presentation in the class is an effective way to reinforce content that has to be retained.

With features like the possibility to record your voice to accompany the PowerPoint slides, it is also easy to convert the presentations that have been used in the class into videos to post online. The students can then review the work done in the class at home.  T

his method works effectively for academic lessons and training sessions.

PowerPoint presentations online can also sometimes be the only way to teach and train students. During the Covid pandemic, for instance, classes are sometimes not possible and online sessions are the only way to keep on teaching.

A large percentage of these online sessions have started as PowerPoint presentations.

11. Huge Online Community and Microsoft Support for Troubleshooting Issues

powerpoint presentation on advantages and disadvantages

Microsoft offers 24/7 support for PowerPoint users and there are literally hundreds of articles online available on how to troubleshoot issues. The huge online community of PowerPoint users is also actively involved on websites like Quora to help fellow users to get solutions for their issues.

10 Pros and Cons of Powerpoint Presentations

If you need to make a formal presentation, one of the best supportive tools you can use to create visuals for those attending is Microsoft PowerPoint. It can be found in Office 365 subscriptions for both personal and business use.

The primary advantage of using PowerPoint is that visual representations can help to reinforce the key points you’re speaking about. Humans are visually orientated when learning new skills or ideas, so having a graphic representation of what you’re speaking about makes it easier to retain the information.

The primary disadvantage is that it takes time to learn how to use this software. For those unfamiliar with visual presentation software, the process can become difficult. It may even cause some to give up trying to learn it. Here are some of the other pros and cons of PowerPoint presentations that are worth thinking about as well.

What Are the Pros of PowerPoint Presentations?

1. It is easy to download and use virtually anywhere. PowerPoint is considered a standard product in many professional settings. This allows you to take your user license virtually anywhere to be able to create the graphics needed for your presentation. It is so expected, in fact, that you may create a negative first impression if you don’t have a PowerPoint presentation to offer.

2. It can make a presentation more interesting. Even interesting presentations can grow long and boring. With an animated presentation or interesting quotes or other fun slides, you can bring people back from their boredom.

3. It is easy to customize each slide to meet specific needs. Images on a slide can be decreased or increased in scale to fit your needs. It only takes a few clicks to insert, alter, and align images to create a needed visual representation. You can even use arrows, pointers, or other shapes to highlight key areas of information you want people to know about.

4. It is a simple process to create follow-along hand-outs. You can print each slide directly from PowerPoint. Then you can copy those slides to become a helpful hand-out that can be given to each presentation participant.

5. It is reasonably affordable for most professionals. Business plans for Office 365 start at just under $10 per month. This gives you 1 license to use on a computer of your choice. For $15 per month, you receive 5 computer licenses to use.

What Are the Cons of PowerPoint Presentations?

1. There’s always the chance of running into technical difficulties. Even tech-savvy individuals can run into presentation issues when the technology doesn’t work as intended. Maybe the computer stops working. Or you lose power to your outlet. Or the overhead display doesn’t work right. This can alter the positive first impression of a presentation very quickly.

2. Slides with too much information on them can become overwhelming. Because there are so many options that can be included on a PowerPoint presentation, it can be easy to go overboard on the number of colors, sounds, shapes, and other items that can be used. By adding to many things, you can detract from the information that needs to be shared.

3. It isn’t a substitute for what a presenter must do. Many who use PowerPoint tend to rely on the information on the slide instead of providing a learning narrative. It is easy to become too reliant on this software and forget that there is an actual presentation that needs to be completed.

4. Costs are always ongoing. Because it is part of the Office 365 package, you no longer receive a proprietary software license for one specific cost. You must pay a monthly or annual subscription cost, which over time can add up to more than what the proprietary license once offered. You must also download the software to each computer, which consumes data that may be capped for some small business owners.

5. Some participants may tune out your narrative. If your PowerPoint is very detailed, some participants in your presentation may focus on your handouts and slides more than your actual narrative. This may make it difficult to make the call to action that you want participants to follow at the end of the day.

The pros and cons of PowerPoint presentations show that with careful planning, any narrative can be enhanced for those who are participating in the event. Without that planning, the presentation may do more harm than good to the narrative.

Advantages and Disadvantages of PowerPoint

PowerPoint Presentations gained their share of recognition and fame, as soon as they were introduced to the technical and not so technically strong world. With almost every age group used to this visual demonstration , which makes the subject interesting and keeps the audience engaged ; there certainly are some drawbacks of this technique as well.

powerpoint icon png

Lets us draw an estimation with an overview of the advantages and disadvantages, of this technique:

Ease of creation

Advantage: These can be created easily, one does not need to be some designing expert to prepare an amusing presentation.

Disadvantage: This very often proves detrimental, because people end up preparing presentations which are either filled with images or are just plain text.

Alluring Exhibition

Advantage: PowerPoint Presentations have always had a higher hand over others because there is always an excitement about what the slides will reveal. This keeps the listeners engaged in the whole act.

Disadvantage: In planning the strategies to create a captivating content, the presenters often compromise on the factual part, losing on the actual focus. Moreover if the imagery is too fascinating the audience loses interest in what the speaker is saying.

Blend of content and graphics

Advantage:  The content can be presented in the form of bullet points, which is a cue for the presenter. Even the readers want to read small simple lines, rather than paragraphs.

Images, pictures and these days even videos have become an integral part of presentation to display your creativity and invite attentions.

Disadvantage:  If the synchronization of content and imagery is not balanced it might turn out to be a blunderous creation.

There are many presentations, especially ones related to the technological sector where graphics cannot be interesting. So it should be avoided, without compromising on the content and engaging factor.

Presentation Skills

Advantage: This is always at test, but with a PowerPoint Presentation the confidence is boosted. You do not have to be a great orator or prepare a speech; as you prepare the presentation, you educate yourself on the topic simultaneously.

Disadvantage: Ofttimes people use it as a dodge and congest the slides with their ideas, so that they have to speak lesser or not at all.

When preparing a PowerPoint Presentation one should remember that it is a critical technique. Its high points may turn out to be ineffective for you, if not utilized properly.

One important point that you should keep in mind when devising a presentation is understanding your target audience . It helps a great deal, in brainstorming, creating and presenting too.

Put your PowerPoint presentation on a USB flash drive or in any cloud storage program, and you can access it anytime. Your user license allows you to access your presentation from any location because it is also featured in typical professional settings.

Working from home is now commonplace. There is a great demand for tools that enable team collaboration even when members are dispersed throughout the globe. With the help of its online cloud storage, PowerPoint has adjusted to this circumstance and now allows you to work on the same presentation without sharing it.

PowerPoint gives you complete control over the visual aspects of your slides. You have the option to add your style to your presentation. You may design the ideal presentation for yourself because it is simple to alter and experiment with the elements provided by this software. Additionally, the software includes themes for aesthetically appealing presentations and for individuals who desire a rapid and attractive design. Additionally, PowerPoint will inspire you with design suggestions for your slides using the images and other components you choose. You can set the typefaces, graphics (logos), and other slide preferences if you customize the Master Slide for them. The top slide in the thumbnail pane on the left side of the window is the master slide.

Our founder previously referred to PowerPoint as a flexible and insightful tool. This is because this software can be used to create flyers, marketing materials, gifs, movies, CVs, and other types of materials in addition to presentations, but it is most famous for them. Our social media updates, PowerPoint infographics, and client presentations are all done.

Your materials can be exported from PowerPoint in formats other than. pptx. As we previously discussed, this software allows you to produce all different materials, and for each of them, it provides options for preserving your work. There is a special option to save gifs as animated gifs, and presentations can also be saved as.pdf files, which will minimize their size. Videos can also be exported as mp4 files. Of course, users can save slides as.png or.jpg files as well.

Most of the time, PowerPoint is utilized to show to a wider audience because it is simpler to project (a few things changed in 2020, but a zoom presentation looks just as beautiful). Choose your preferred method of communication; PowerPoint may easily incorporate all three: text, graphics, and videos.

In PowerPoint, images are crucial. Images and videos can help you clearly and captivatingly communicate your point in any presentation. You can insert music or use simple noises to achieve the desired effect. Utilize this tool to the fullest extent by exploring all of its features.

You may utilize many options to master PowerPoint after you become familiar with the program. Even better, we can give you 84 shortcuts that will alter how you use it and help you save time.

Most of the time, employees and staff already have a Microsoft license installed on their work computers, including PowerPoint. Universities also purchase the suite to enable communication between instructors and students.

Several factors might come into play when preparing to use PowerPoint for presenting, so it could happen at any time. Your computer may malfunction, receive an update just before you begin, or experience a power outage in the middle of your presentation. The connecting problem is a constant; do you use HDMI, VGA, or an adaptor? Additionally, PowerPoint contains customizations tailored for your computer, such as fonts or films. If you don't embed these or put them in a folder with the presentation, they won't run on another person's computer.

Once you get used to the software, it's really simple to get confused among all the possibilities. How much text is excessive? Do you have enough pictures? What typeface shall I use? The number of fonts to utilize If you include too many things, you'll stay focused on the presentation's goal. We know you have much crucial information to convey, but keep some suspense about how it will be delivered.

Since PowerPoint presentations are often used in conferences, business meetings, and academic settings, your audience has already seen many presentations before yours. If you don't grab your audience's interest immediately with how you present or your presentation looks, they will get bored and not pay attention to what you have to say. Make sure you devote enough time to creating your PowerPoint presentation; a powerful speech will help your presentation succeed.

If you want to impress, stay away from templates as much as possible. If you must use them, improve on them and add your flair.

Occasionally, if you are too preoccupied with creating the slides, you could forget to make preparations for giving the presentation, which could result in you reading from the slides. Because they could have looked at the presentation themselves, the audience wanted to hear more from the speaker than what was shown on the slides.

There are times when you become so accustomed to technology that you begin creating presentations for every occasion. You will find completing each report or status in PowerPoint simpler, but your colleagues will find it less enjoyable and will take more time.

You will have limited time to speak to the audience if you spend too much time organizing your presentation and including much material on your slides. You rely more on the slides during the presentation, reducing the time you have to speak directly to the audience. This behavior hurts the audience, and your listeners will assume you are uninterested in the subject you are discussing.

You might need help preparing your presentation on your computer and delivering it using someone else's machine. As an illustration, if you utilize unique fonts in your slides, but they are not accessible on another computer, your presentation will not look appealing. Additionally, you can experience troubles with HDMI cables, VGA cards, or projector connectivity problems, such as adapter problems. Another issue arises if you need more knowledge to connect your laptop to a projector.

Because the software has so many features, no one can become an expert in all of them. Therefore, the novice user can produce a dull presentation. When selecting templates, you must be exact. If you need more design expertise, it is best to use templates. It would be best to create a distinctive presentation because the audience has already seen too many. You can utilize personalized templates and intriguing graphics on your slides to give the presentation a special touch.

If you master this program to create presentations, you may become so accustomed to it that you start keeping all your data there. For instance, you might save the information even if you need to prepare the presentation for the audience. Even if you aren't producing presentations for others, this will force you to create many of them.

While addressing the audience, you cannot modify the slides. To avoid making any errors in the slides, you must be accurate when creating them. When creating a presentation, you must include all the information you intend to.

Your audience could be clearer if you present a lot of written content on a single slide. Additionally, if your presentation has a lot of images and movement, the viewers will miss the crucial information you want to convey. Font size is also important. It will be difficult to read if the font size is too small. Font style is also crucial. Font inconsistency, or utilizing a different font on each presentation, can be confusing.

Powerpoint is recommended for use with a variety of materials, not only presentations. This tool can help you with both predetermined elements and creative freedom.

If you want to develop a presentation, do the work, hunt for instructions, or contact a company for assistance.

Definition of Microsoft PowerPoint

PowerPoint is presentation software that is used to make slideshows. Slides in PowerPoint are made up of text, images, videos, bullet points, audio clips, animation, and templates.

Advantages of Microsoft PowerPoint

Some benefits of Microsoft PowerPoint are:-

Design options:

There are many templates available to be used in your presentations. You can either use the default templates available in the software or use your own templates. It is up to you which template you want to use for your slides. There is a master slide in every presentation. You can change the font size, theme and colour of the master slide and other slides will inherit the changes you made in the master file.

Learning visually is easy:

This software gives us the facility to put text, graphics, animation and videos in the slides. Learning visually through animation and other items like text and graphics is easy. The users can learn quickly through this type of software. It is also easy to make such a presentation by putting different presentation materials and organizing the slides with different information.

A lot of items available:

There are many items available that you can insert into your slides. You can insert text, bullet points, images, videos, marketing materials, flyers, CVs, and also gifs. You can rearrange different items by moving and dragging items on the slide. For example, you can move a text box or image by clicking and dragging it to different locations.

Exporting options:

You can export your slides in .png or .jpg. You can also export your presentation in .pdf, .mp4 or gif format. The slides can be exported in an animated gif which is a great advantage. If you want to print your presentation then first export your presentation in .pdf and then you can easily print the pdf.

Remote facility:

Two or more people can work on a presentation at the same time. Now PowerPoint is available on cloud storage and teams can collaborate easily. Now changes can be made in real-time while you are presenting the slides or preparing the presentation. Two or more people can make changes to the PowerPoint document and the changes are saved on all the contributor computers.

Great tool for presentation:

PowerPoint is a great communication tool between you and your audience. You can present your ideas with a lot of features that this software provides. You can deliver your knowledge with great ease and within your time frame. The animation in your slides will never bore your viewers and you can go from one slide to another with a simple click of a button.

Support audio and video items:

Multimedia is everywhere. You can put multimedia i.e. audio clips and video clips in your presentation. This software gives the audience entertained while watching the slides. The users get interesting by viewing the videos or audio clips in the presentations.

A lot of shortcuts:

This software comes with a lot of shortcuts. For example, Ctrl + N will create a new presentation, Ctrl + M will create a new slide, Ctrl + Shift + D will create a duplicate of the slide and so on.

Many usages:

This software is used by many educators, businesses, and individuals. Many people use this software for making:-

  • Photo albums
  • Invitations
  • Brainstorming maps
  • Screen recordings

Easy for beginners:

New users can easily learn this software. You don’t need to be a graphic designer to use the software. You can easily pick the template and add images and text to the slides. It is easy to add any animation effect to the text or image. To add animation you just need to click on the text or image and click on the animation effect to be applied.

Many fonts:

You can select any font available in this software. Many nice default fonts come with this software. You can add animation effect to the font text and also change font colour, font size, bold the font and change the style of the font also.

Insert excel spreadsheet:

You can insert a portion of the Excel spreadsheet into PowerPoint also. You can select the data you want to insert from excel and then link it to the PowerPoint and that data is then inserted into the slide.

Disadvantages of Microsoft PowerPoint

Some drawbacks of Microsoft PowerPoint are:-

Dependent on slides:

If you consume too much time in preparing your presentation and put a lot of information in slides then you get little time for speaking to the audience. So during the presentation, you become dependent on slides and your own speaking time with your audience becomes less. This behaviour impacts badly on the audience and your listeners will expect that you have no grip on the topic that you are presenting.

Technical issues:

If you have prepared your presentation on your computer and presented with someone’s computer then you may face some issues. For example, if you use some special fonts in your slides and those fonts are not available on another computer then your presentation does not look interesting. Also, you may face problems with VGA cards, HDMI cable or projector connectivity issues like adaptor issues. If you don’t have the skills of connecting your laptop with a projector then it also creates a problem for you.

Lack of skills:

As there are many features available in the software and no one can master all the features used. So the new user may create a boring presentation. You have to be precise in choosing templates. It is good to not use any template if you don’t know have design skills. The audience has already seen too many presentations so you have to make a unique presentation. To make the presentation unique you can use custom templates and use interesting images in your slides.

Unexpected usage:

If you become an expert in making presentations in this software then you become so used to it that you store all your data in this software. For example, if you are not preparing the presentation for the audience but you still save the information for your personal use. This will make you create a lot of presentations even if you not making them for others.

Making changes:

You cannot make changes to the slides while presenting to the audience. You have to be accurate while preparing the slides so that you do not make any mistakes in the slides. You have to be careful while making a presentation and don’t skip any data that you want to put in.

Presenting information:

If you put a lot of text information on a single slide then your audience may get confused. Also if you put a lot of images and animation in your slide then the audience will skip the important points that you want to deliver. The font size also matters. If you put the font size too small then it will create an issue in viewing. Font type is also important. Inconsistent fonts i.e. using different fonts in each slide may create confusion.

Costly software:

The free basic version of this software is available online with few features. But the full version of this software is costly to buy. For using this software on a desktop or mobile you will need to subscribe to an annual subscription. There is alternative software available which behaves the same as this software but they lack most of the features that this software has.

Changes not saved automatically:

One issue with this software is that changes are not saved automatically and you have to press Ctrl + S every time you want to save changes. If for some reason your computer is turned off then the unsaved changes will be gone and your hard work will be lost.

For students:

Most of the students that attend the presentations are not interesting of what the speaker is saying. They are more interesting that they get a copy of the presentation on their computer. Most students ask the teacher that is the presentation is available for their use. Some teachers don’t give a copy of slides to the students and they say to concentrate on what the teacher is presenting.

Many extra features:

There are a lot of features included in every version of this software. Most people are unknown of all the features of the software. They use the most common features of the software. Due to the many extra features of the software, it makes the user get extra training. It needs time to learn all the features of this software.

Emailing presentations:

If you put too much stuff in your presentations then file size increases and if your file size reaches 10 MB or more then you get problems in sending the file through email. If you want to send the presentation to many people then uploading large files creates a problem and most email providers have a limit on uploading large files.

Top 10 Advantage And Disadvantages PowerPoint Presentation Templates in 2024

PowerPoint presentations offer a versatile platform for creating engaging and visually appealing content. One of the primary advantages of using PowerPoint is its user-friendly interface, which allows individuals with varying levels of technical expertise to design professional-quality presentations. The extensive library of templates, graphics, and animations enhances creativity, enabling users to effectively communicate their ideas and capture audience attention. Moreover, PowerPoint supports multimedia integration, allowing users to embed videos, audio, and images, which can enrich the presentation experience and cater to diverse learning styles. However, there are also disadvantages associated with PowerPoint presentations. Over-reliance on slides can lead to a lack of engagement, as audiences may become passive consumers of information rather than active participants in discussions. Additionally, poorly designed slides, such as those overloaded with text or cluttered visuals, can detract from the overall message and confuse viewers. Furthermore, technical issues, such as software compatibility or hardware malfunctions, can disrupt the flow of a presentation. In summary, while PowerPoint is a powerful tool for enhancing communication and storytelling, its effectiveness largely depends on the presenter's ability to balance visual elements with meaningful content and audience interaction.

Online education is very popular recently due to this pandemic situation. All educational institutions starting practicing online courses considering the safety of the students. There are both advantages and disadvantages in online educations. let us see about them in detail:

Pros of Online education

Time management:.

Time management is one of the major pros of online education. Because most of the students spent lot of time in travelling especially in metro cities.

Various courses are covered under one roof. This is also related to time management. Where students are in a need to move to various locations for their respective classes.

Due to the above mentioned reasons students can learn wide courses in a short duration.

Download Pros and Cons of Online Education PowerPoint Presentation:

Note : If the download link is not working, kindly let us know in comment section.

Affordable:

Online education is cost efficient. It is like a one time investment i.e. buying a laptop or a tablet. Other than that the cost of the online courses are very affordable compared to normal coaching classes.

It is very convenient and flexible not only for students but also for the parents to take care of the kids. The students can study at comfort at their home .

Cons of Online Education

We all know as a coin has two sides there are also two sides for online education. let’s see the cons of online education:

  • Online education is not available at ease for many students. Mainly for students from rural areas. Because it requires high internet speed which is not available in rural areas.
  • There are also students who cannot afford for costly electric gadgets used for class.
  • Students are isolated from the outer world. They are hooked up in single room with the technology in front of them. The students are not even interested in exploring the outer world.
  • As the students are isolated they become more stressful which causes many health issues.
  • Technology not only teaches good things it paves way for many bad things too. There is a chance for students to get distracted by using unwanted sites.
  • If there is any technical issues then it will be a huge loss for the students. There is a chance for them to miss the class or not able to attend the class until rectifying it.
  • Online class means more screen time therefore there is a chance for eyesight related issues.
  • Due to social isolation students lack communication skills.

Cons of Online Education

  • Only theoretical skills are well developed and there is a lack in practical skills. If it is a physical classroom practical training will also be provided simultaneously.
  • There is a tremendous reduction in physical activities among the students. Whereas in classroom coaching separate time is allotted for the purpose of drills or yoga etc.
  • During exam time it is difficult for the examiner to avoid cheating by the students. Only if the student is self disciplined the exam will be in a fair manner else there is more chance for malpractice.

As we know Online education is one of the big life saver during this pandemic situation . Parents are worried about the safety of the children and not ready to send them to educational institutions. They are also worried about the education of the children. Due to online education both the safety of the students as well as education is balanced.
