You've  applied to graduate schools , and lo and behold, you've been accepted to the program of your dreams. You may think you're all set and you need only pack your bags, book a flight or load your car, and head out to grad school. But, you need to take one more step to ensure your position at the school will be open and ready for you when you arrive: You'll need to write an acceptance letter. Admissions officers have to be sure that you are ready to attend; otherwise, they will likely give your spot to another candidate.

Before Writing Your Letter or Email

Your graduate school applications were just the first step. Maybe you received several  offers of admission , maybe not. Either way, remember to share the good news with friends and family first. Don't forget to thank your mentors and people who wrote recommendation letters on your behalf. You want to maintain your educational and professional contacts as your academic career progresses.

Writing Your Reply

Most grad programs notify applicants of their acceptance—or rejection—by email or phone, although a few still send formal letters by mail. Regardless of how you're notified, don't immediately say yes. This is especially important if the good news comes in a phone call.

Thank the caller, likely a professor, and explain that you will reply soon. Don't worry: You won't suddenly have your acceptance revoked if you briefly delay. Most programs give accepted students a window of a few days—or even up to a week or two—to decide.

Once you've had a chance to digest the good news and consider your options, it's time to write your graduate school acceptance letter. You can respond via a letter that you send through the mail or you can reply by email. In either case, your response should be short, respectful, and clearly indicate your decision.

As you would with any important correspondence, take the time to reread your letter or email before you send it. Ensure that it doesn't have any misspellings or grammatical errors. Once you're satisfied with your acceptance letter, send it.

If you've been accepted into more than one grad program, you've still got some homework to do. You'll need to write a letter declining an offer of admissions  to each of the programs you rejected. As with your acceptance letter, make it short, direct, and respectful.

The Admissions and Enrollment Committee of the Graduate Assembly has developed guidelines and a sample financial support offer letter for admitted applicants to promote and support consistent implementation of offer letters across graduate programs, colleges and schools. Graduate programs should follow these guidelines when developing financial support offer letters for admitted applicants.

In addition to providing a financial support offer letter, programs are encouraged to send a separate letter of admission to all admitted applicants. The offer of admission letter should be independent of an offer of financial support and should outline the specifics of the applicant’s admission to the program (semester of entry, degree level sought, deadline to accept offer of admission, etc.).

These resources may be updated over time, guided by feedback from students and changes in student support/benefit opportunities. The guidelines were created in response to recommendations by the Graduate Education Task Force and implemented beginning in 2021. 

The recommendations include the following:

1. All graduate students should receive an accurate estimate of what they will receive.

Graduate students should receive an accurate estimate of the stipend levels, tuition benefits, and additional fees (including health insurance, summer coverage, tuition if applicable and international student fees) they will receive in their formal offer letters from their graduate programs before they enter the university. Programs that do not already use the Office of Graduate Studies (OGS) offer template should be encouraged to do so.

2. Offer letters should outline the funding plan for each year.

Offer letters should outline the funding plan for each year of the student’s package with clarity about fees and other expenses so that students understand their financial situation before and during their time at UT Austin. All graduate students should receive clear information about academic and non-academic employment they are eligible for during their degree programs and what the levels of compensation will be for these jobs.

Each year, the Massachusetts Institute of Technology receives nearly 20,000 applications from high school hopefuls. Only 8% of them get a MIT acceptance letter. For example, in 2014, MIT accepted 1,447 applicants from 18,356 candidates . That’s a small 7.9% admission rate. Unfortunately, the overwhelming majority of applicants get a rejection letter. “I'm very sorry to inform you…” When I was in high school, I was one of the lucky few to apply to MIT and receive an acceptance letter in the mail. This validated years of hard work, especially in the sciences and research. It was inspiring to know that they wanted me to be a part of their amazing community. Even though I attended Harvard as an undergrad, MIT holds a special place in my heart because I attended Research Science Institute as a high school student at MIT. I also later joined the MD-PhD program at the Health Sciences and Technology program run between Harvard and MIT. You can learn more about RSI in my complete college application .

Even though MIT uses its own application form, the elements of the application are pretty much the same.

Even more importantly, my Spike was deep achievement in the sciences. I ranked #6 in the US National Chemistry Olympiad as a junior, and I participated in Research Science Institute at MIT. Both those things made me a very attractive candidate to MIT admissions. I discuss all these details and how I achieved them here .

#3: How to Get a 4.0 GPA and Better Grades

Your coursework is a critical component of your college application. Not only do you need great grades, you need great grades in what MIT says is " the most stimulating courses available to you ." For MIT, you especially need strong grades in the toughest AP science and math courses.

Thus it's no surprise that a lot of high school students are stressed out and anxious.

The biggest problems I see in the students I work with are in mindset, habits, and strategy . Thus I've written a complete guide on how to excel in high school coursework.

I take you through three levels of detail , from high to low:

A motivation letter has many similarities to a cover letter and a personal statement, and institutions will not ask you to submit all of these. However, it is a unique document and you should treat it as such. In the context of supporting a PhD application, the difference is nuanced; all three documents outline your suitability for PhD study. However, compared to a cover letter and personal statement, a motivation letter places more emphasis on your motivation for wanting to pursue the particular PhD position you are applying for.

Academic cover letters are more common in UK universities, while motivation letters are more common abroad.

A motivation letter can play a key part in the application process . It allows the admission committee to review a group of PhD applicants with similar academic backgrounds and select the ideal candidate based on their motivations for applying.

For admission staff, academic qualifications alone are not enough to indicate whether a student will be successful in their doctorate. Concluding the motivation letter is where most people struggle. Typically, people can easily describe their academic background and why they want to study, but convincing the reader they are the best candidate for the PhD programme is often more challenging.

The concluding remarks of your motivation letter should highlight the impacts of your proposed research, in particular: the new contributions it will make to your field, the benefits it will have on society and how it fits in with your aspirations.

With this, conclude with your career goals. For example, do you want to pursue an academic career or become a researcher for a private organisation? Doing so will show you have put a lot of thought into your decision.

Remember, admissions into a PhD degree is very competitive, and supervisors invest a lot of time into mentoring their students. Your conclusion should remind the reader that you are not only passionate about the research project, but that the university will benefit from having you.

There are some basic rules to follow when writing a successful motivation letter. These will mimic the standard format for report writing that the supervisor will be familiar with:

  • Use a sans serif font (e.g. Arial or Times New Roman),
  • Use a standard font size (e.g. 12pt) and black font colour,
  • Keep your writing professional throughout and avoid the use of informal language,

How Long Should a Motivation Letter Be?

A good rule of thumb for PhD motivation letters is to keep it to around one side of A4. A little longer than one page is acceptable, but two pages is generally considered too long. This equates to approximately 400-600 words.

Things to Avoid when Writing Your Motivational Letter

Your motivational letter will only be one of the several documents you’ll be asked to submit as part of your PhD application. You will almost certainly be asked to submit an Academic CV as well. Therefore, be careful not to duplicate any of the information.

It is acceptable to repeat the key points, such as what and where you have studied. However, while your CV should outline your academic background, your motivation letter should bring context to it by explaining why you have studied what you have, and where you hope to go with it. The simplest way to do this is to refer to the information in your CV and explain how it has led you to become interested in research.

Don’t try to include everything. A motivation letter should be short, so focus on the information most relevant to the programme and which best illustrates your passion for it. Remember, the academic committee will need to be critical in order to do their jobs effectively , so they will likely interpret an unnecessarily long letter as in indication that you have poor written skills and cannot communicate effectively.

You must be able to back up all of your statements with evidence, so don’t fabricate experiences or overstate your skills. This isn’t only unethical but is likely to be picked up by your proposed PhD supervisor or the admissions committee.

Whilst it is good to show you have an understanding of the field, don’t try to impress the reader with excessive use of technical terms or abbreviations.

# What’s Acceptance Letter from Supervisor

A supervisor acceptance letter is a letter or form from the Chinese supervisor saying that she/he is willing to accept you as her/his master/PhD student. This form/letter should be filled/written by professors of the Chinese University according to the teacher’s knowledge of the applicant. This form/letter cannot be used as an official admission letter; it can be used as a supplementary part of the application materials for applying at Chinese universities. For most Chinese universities, such a letter/form is a necessary document to enroll new graduate students. Major and supervisor usually cannot be changed if the applicant wins a scholarship or gains admission.

# Steps to Obtain Acceptance Letter from Supervisor

Step 1: Find your target university and the professors with the correct expertise in your field of interest.

You can find the research program/major that best matches your educational background, skills, and qualifications at the website of your target university. Read through the faculty list and find out the one who is doing related to your area or your target major/program. Then you can do a web search on the faculty members’ names, and check their publications. Hope you can find the professor who matches you best in this way!

Step 2: Get supervisors’ information and prepare the documents to be sent to the potential professor.

After you decide which professor you want, you can get to the next step. Get supervisors’ contact information at the school's official website and prepare the following documents.

- Your personal information and contact information

- Education background

- Academic awards or highlights like publication

- Research/work experience like conferences/seminars/workshops experience

- Skills and abilities

Step 3: Contact the professor and try to get their acceptance letter. 

Send an email to your target supervisor with the documents you prepared and make your purpose clear in the email:

- Why do you wish to enter graduate studies at this university?

- Why the supervisor's area of research will match with your research goals?

- Make it clear that you are familiar with their work and how to work with them.

If you have a chance to meet the professor in person, then consider meeting or talking with the potential supervisor in person. If the professor does not reply to you, you can try to resend the email or call them. If you get no result from the professor, you can try to find other professors.
