A cover letter is a critical component of your visitor visa application. It provides a brief overview of your trip, including the purpose of your visit, your travel plans, and your ties to your home country. A well written cover letter can make all the difference when it comes to getting your visa approved, so it’s important to take the time to craft one that is effective and persuasive.

In this article, we will show you how to write a cover letter for visitor visa application that will help you get the approval you need. We’ll cover everything from what to include in your cover letter to how to avoid common mistakes, so you can increase your chances of success.

So, whether you’re planning a trip to visit friends and family, attend a business conference, or just for tourism purpose, read on to learn how to write a cover letter that will get you there.

What is a Visitor Visa and Why You Need to Submit a Cover Letter?

A visitor visa is a document that allows you to enter a foreign country for a temporary period of time. Depending on the country you’re visiting, you may need to apply for a visitor visa in advance, and you will typically need to submit a cover letter along with your visa application. The cover letter is an opportunity to demonstrate why you should be granted a visitor visa and to provide additional information.

When applying for a visitor visa, a cover letter serves as an introduction to your application and provides the visa officer with a comprehensive understanding of your purpose of visit, your plans, and the supporting documents you have enclosed. A cover letter allows you to showcase your personal and professional details, such as your employment status, financial stability, and travel history, which can greatly increase your chances of having your visa application approved.

Additionally, a cover letter helps to provide context and clarification to your visa application, especially if there are any gaps or inconsistencies in your application or supporting documents. It also gives you the chance to explain any special circumstances or requests.

In short, a cover letter is an essential part of your visitor visa application and provides the visa officer with a clear and concise overview of your application. By submitting a cover letter, you increase your chances of having a positive outcome of your visitor visa application.

Tips on Crafting an Effective Cover Letter for Visitor Visa Application

Here, we are going to share tips and tricks to help you write an effective cover letter that will convince the visa officer to grant you a visa.

Some of the key tips are:

  • Customizing your cover letter to fit your specific trip and situation
  • Demonstrating your ties to your home country
  • Proving your ability to support yourself during your trip
  • Making your cover letter concise, compelling, and easy to read

How to Structure Your Cover Letter and What Information Should Be Included?

The structure of your cover letter is just as important as the content. A well structured cover letter will make it easy for the visa officer to understand your purpose for traveling and the reasons why you should be granted a visitor visa. We will show you how to structure your cover letter and what information you should include to make it effective.

Some of the key information you’ll need to include in your cover letter includes:

  • Your full name and contact information
  • The purpose of your trip
  • Your travel plans, including your itinerary and the names and addresses of any places you’ll be staying
  • Write about your financial stability
  • Write about your ties to your home country
  • Write about your travel history
  • Your intent to return to your home country

Important: These days we usually see that visa applications are submitted at the VFS Global (visa application centre) and not directly at the embassies or consulates. Applicants do not get a chance to face the visa officer to explain his/her situation. In this case, a Cover Letter provides you a chance to express yourself in front of a visa officer.

TIPS ON WRITING A POWERFUL COVER LETTER FOR YOUR VISA APPLICATION

Table of contents, introduction.

A well-crafted cover letter can play a crucial role in the visa application process. It serves as a personalized introduction to the applicant, allowing them to present their case more effectively to the visa officer. The cover letter provides an opportunity to highlight the key reasons for travel, demonstrate ties to the home country, and clarify any aspects of the application that might raise questions. By effectively articulating the purpose of the visit and reassuring the visa officer of the applicant’s intentions to abide by visa regulations, a well-written cover letter can significantly influence the outcome of the application.

cover letter for purpose of visit

This guide is particularly useful for a wide range of visa applicants, including those applying for tourist, student, and work visas. Each type of visa application has its unique requirements and challenges, and a tailored cover letter can address these specifics, enhancing the applicant’s chances of approval. Whether the applicant is planning a short vacation, seeking to study abroad, or pursuing career opportunities, this guide provides essential tips and templates to help them craft an impactful cover letter that resonates with their individual application context.

Understanding the Purpose of a Visa Cover Letter

Clarify Objectives

The main goals of a visa cover letter are multifaceted and critical to the success of the application:

Introducing the Applicant: The cover letter formally introduces the applicant to the visa officer. It’s an opportunity to present oneself beyond the facts and figures of the application forms. This introduction should convey a sense of the applicant’s character and reliability.

Outlining the Purpose of Visit: A key element of the cover letter is to articulate the reason for travel clearly. This could range from tourism, education, work, or visiting family and friends. It’s important to be clear and concise, providing enough detail to demonstrate that the plan is well thought out and credible.

Establishing Intent to Return to Home Country: One of the visa officer’s primary concerns is ensuring that the applicant plans to return to their home country after their visit. The cover letter should address this by highlighting strong ties to the home country, such as family, employment, or ongoing studies, which indicate the applicant’s intent to return.

Personalization

Personalization is key in a visa cover letter. Each visa type (tourist, student, work, etc.) has its own set of expectations and requirements:

Tourist Visa: Focus on the itinerary, places of interest, and the reason for choosing the specific destination. I think highlighting return tickets and hotel bookings can be beneficial.

Student Visa: Emphasize the educational goals, the reason for choosing the particular institution, and future career plans in the home country.

Work Visa: Outline professional objectives, the importance of this particular position, and how it fits into long-term career plans.

Moreover, personal circumstances should be taken into account. If there are unique situations like medical treatment, family reunions, or participation in specific events, these should be clearly stated. The more tailored the cover letter is to the individual’s situation and the specific type of visa being applied for, the more effective it will be in supporting the visa application.

Start With The Basics

When crafting a visa cover letter, beginning with the right format sets a professional tone for your application. Here’s how to do it:

Your Address : Start with your full address at the top left corner of the letter. This includes your street address, city, state, and zip code. This information should be aligned to the left margin.

Date : Below your address, leave a space and then include the current date. This should be the date on which you are writing or sending the letter.

Embassy/Consulate Address : After the date, leave another space and then write the address of the embassy or consulate to which you are applying. This should include the name of the embassy/consulate, its street address, city, and country. Align this address to the left margin, similar to your personal address.

Addressing the Visa Officer : The salutation should be formal. Typically, it’s advisable to use “Dear Visa Officer” or “Dear Consular Officer”. This is a respectful and general way of addressing the individuals responsible for processing your visa application. Avoid using generic salutations like “To whom it may concern”, as they can appear impersonal.

By following these basic guidelines, you ensure that your cover letter adheres to the standard norms of formal correspondence, reflecting your seriousness and respect for the visa application process.

Introduce Yourself

  • Your Name and Nationality : Begin with your full name as it appears in your passport. Following your name, mention your nationality. This basic information establishes your identity for the visa officer.
  • Main Reason for Visit : Clearly state the primary purpose of your visit. Whether it’s for tourism, education, work, or to attend a specific event, make this clear from the outset. This sets the context for the rest of your letter.

Background Details

  • Employment or Educational Status : If it’s relevant to your visit, could you mention your current employment or educational status? For instance, if you are a student planning to study abroad, mention your current educational institution and what you plan to study. If you’re employed, state your job title and employer. This information can help the visa officer understand your ties to your home country and your reasons for returning.
  • Relevance to Your Visit : Explain briefly how your employment or educational status is relevant to your visit. For instance, if you’re attending a professional conference, your job role and responsibilities might be pertinent. For a student visa, your current field of study and future aspirations could be relevant.

State the Purpose of Your Visit

This section is critical as it directly addresses the core of your visa application — the reason for your travel. It’s important to be specific and clear, providing enough detail to support your application.

Clear Intentions

  • Purpose of Trip : Begin by explicitly stating the purpose of your trip. This should be a clear and straightforward declaration. For instance, “I am applying for a tourist visa for a two-week holiday in [Country],” or “I am seeking a student visa to pursue my master’s degree at [University Name].”
  • Specific Reason : If there are specific reasons tied to the nature of your visit, such as attending a business conference, participating in a cultural event, or visiting family for a special occasion, mention these. The more specific you are, the clearer your intentions will appear to the visa officer.

Itinerary Details

  • Travel Itinerary : If you have a travel itinerary, briefly outline it. Include key destinations, dates, and any booked accommodations. For business or student visas, mention the institutions or organizations you visit or affiliate with. We can help you plan your trip by availing our  itinerary service.
  • Meetings or Contacts : If your trip involves meeting specific people or attending specific events, mention these. For example, “I plan to attend the International Business Conference held at [Venue] from [Start Date] to [End Date],” or “I will be visiting my brother, [Name], who resides at [Address].”

By providing a clear and detailed account of your travel plans, you demonstrate to the visa officer that you have a well-thought-out purpose for your visit and that your intentions align with the type of visa you are applying for. This clarity can significantly strengthen your application.

Explain Your Ties to Your Home Country

A critical aspect of your visa application is demonstrating strong ties to your home country assuring the visa officer of your intention to return after your visit. Here’s how to effectively convey this:

Strong Ties

  • Family Connections : If you have close family (like parents, spouse, or children) in your home country, mention them. Explain your role and responsibilities within your family unit, which indicate your need to return.
  • Employment : Detail your current employment situation. Include your job title, the name of your employer, and how long you have been with the organization. If you have a letter from your employer granting leave for your travel, mention that as well.
  • Property Ownership : If you own property, such as a house or land, in your home country, mention this. Property ownership is a strong indicator of your ties and intention to return.

Evidence of Return

  • Ongoing Commitments : Highlight any ongoing commitments that necessitate your return. This can include a job that you need to return to, a business you run, or educational courses you are enrolled in.
  • Future Plans : If you have specific plans upon your return, such as career progression, further education, or family events like weddings or anniversaries, mention these. Such plans can reinforce your intention to return.
  • Supporting Documentation : If you can provide evidence of your ties, such as a job contract, business ownership documents, or family details, mention that these documents are available. You don’t need to include them with the cover letter but be prepared to present them if requested.

By effectively demonstrating your strong ties to your home country, you significantly enhance the credibility of your claim that your visit is temporary and that you intend to return after your stay. This is a key factor in the visa decision-making process. You can read more about  Proof of Strong Ties for Your Schengen Visa Application in the Philippines .

Financial Responsibility

When applying for a visa, demonstrating your financial responsibility is crucial. This section of your cover letter should clearly outline how you plan to financially support your trip.

Financial Stability

Self-sponsorship : If you are self-sponsoring your trip, asserting your financial stability is important. Briefly explain your financial situation, such as your regular income, savings, or investments, which indicate your ability to cover all travel expenses, including accommodation, food, and emergencies.

Sponsorship : If someone else is sponsoring your trip, state the relationship with the sponsor (e.g., family member, friend, employer) and their commitment to supporting you financially during your visit.

Supporting Documents

I’d like you to please mention that you have attached relevant financial documents to your application. This could include bank statements showing your savings, income statements, or a sponsorship letter if applicable.

Details of Documentation : If you are providing a sponsorship letter, ensure it includes the sponsor’s name, their relationship to you, their contact information, and a statement of their commitment to support you financially during your trip. If using bank statements, mention that they reflect your current financial status and ability to fund your travel.

Including clear and detailed information about your financial responsibility in your cover letter helps assure the visa officer that you are capable of supporting yourself during your trip and will not become a financial liability in the country you plan to visit.

Cover Accommodation and Health Insurance

In this section, you should provide details about your accommodation plans and health insurance coverage for your trip, as these are important aspects of your travel preparations.

Accommodation Details

Staying with Friends or Relatives : If you are planning to stay with friends or relatives, provide their names, addresses, and contact information. It can be helpful to mention your relationship with them and the duration of your stay.

Hotel Accommodation : If you will be staying in a hotel or rented accommodation, mention the name of the hotel or the address of the rental, along with the duration of your stay. If you have pre-booked your accommodation, stating this can add credibility to your travel plans.

Health Insurance

Travel Health Insurance Coverage : Clearly state if you have secured travel health insurance for the duration of your stay in the destination country. Include details about the coverage, such as medical expenses, emergency services, and repatriation, if applicable.

Insurance Documentation : Mention that you have attached or can provide documentation of your travel health insurance policy. This reassures the visa officer of your preparedness for any health-related contingencies during your trip.

Addressing your accommodation and health insurance arrangements in your cover letter adds depth to your application, showcasing your thorough planning and responsibility as a traveler. This information can play a significant role in the overall assessment of your visa application.

Conclude a Polite Request

The conclusion of your visa cover letter is an opportunity to reinforce your request and demonstrate your willingness to cooperate with any additional requirements. Here’s how to effectively wrap up your letter:

Request for Consideration

Polite Appeal : Conclude your letter with a courteous appeal for a favorable consideration of your application. This could be phrased as, “I respectfully request that my application for a [type of visa] be considered favorably.”

Expression of Gratitude : It’s also good practice to express gratitude for the time and effort taken by the visa officer to review your application. A simple statement like, “I appreciate your consideration of my application,” can be effective.

Availability for Further Information

Openness for Communication : Indicate your willingness to provide any additional information that may be required. This shows that you are cooperative and serious about your application.

Readiness for Interview : If applicable, state that you are available for an interview or any further discussions regarding your visa application. This could be stated as, “I am readily available for an interview or to provide any further information needed for my application.”

By concluding your cover letter with a polite request and showing openness for further communication, you leave a positive impression on the visa officer, demonstrating your earnestness and respect for the visa application process.

Attach Supporting Documents

Concluding your visa cover letter with a comprehensive list of supporting documents is crucial. This not only demonstrates your organizational skills but also makes it easier for the visa officer to review your application. Here’s how to do it:

List of Documents

Bank Statements : Include bank statements that demonstrate your financial stability and ability to support yourself during your visit.

Employment Letters : If you are employed, attach a letter from your employer. This letter should confirm your employment, your role, the duration of your leave (if applicable), and your expected return to work.

Itinerary : Provide a copy of your travel itinerary, which includes flight details, accommodation bookings, and a schedule of your activities or places you plan to visit.

Accommodation Confirmation : If you are staying with friends or relatives, include a letter from them confirming this arrangement. For hotel stays, attach booking confirmations.

Travel Health Insurance : Include documentation of your travel health insurance policy, showing the coverage details.

Sponsorship Letter (if applicable) : If someone else is sponsoring your trip, attach a sponsorship letter from them along with their financial documents.

Additional Documents : Depending on the purpose of your visit, you may need to include additional documents. For example, students should attach admission letters from educational institutions, and business visitors should include invitation letters from the hosting company.

End your cover letter with a statement like: “Enclosed, please find the following supporting documents for your review,” followed by a bulleted or numbered list of the documents. This clear and organized presentation of your supporting documents can significantly enhance the credibility of your application.

Proofread and Finalize

  • Attention to Detail : Proofreading is crucial. Go over your letter multiple times to catch any grammatical errors or typos. These mistakes can make your application seem less professional and may negatively impact the perception of your attention to detail.
  • Use Tools : Leverage tools like grammar checkers, but don’t rely solely on them. Sometimes, these tools can miss nuances in language or context-specific phrasing.

Professional Tone

  • Respect and Formality : The tone of your cover letter should be respectful and formal. This reflects your seriousness and respect for the visa application process.
  • Consistency : Ensure that the tone is consistent throughout the letter. Avoid using slang or overly casual language, as it may not be appropriate for a formal application.

Additional Tips

  • Second Opinion : It can be helpful to have someone else read your cover letter. A fresh pair of eyes might catch errors you overlooked.
  • Read Aloud : Reading your letter aloud can help you catch awkward phrasing or tone inconsistencies.
  • Formatting : Make sure the overall formatting of the letter is professional. Use a standard font, proper alignment, and clear paragraph separation.
  • Length : Keep the letter concise and to the point. A long-winded letter can lose its impact.
  • Final Check : Before submitting, do a final check to ensure that all the information is accurate and that you have attached all the required documents.

The final step in your visa application cover letter process is to ensure it is polished, professional, and error-free. This conveys your seriousness about the application and demonstrates your ability to communicate effectively in a professional setting. Remember, your cover letter is often the first impression the visa officer will have of you, so make it count.

Final Thoughts

Crafting a strong cover letter for your visa application is more than a mere formality; it’s a strategic component that can significantly influence the outcome of your application. By carefully presenting your case, explaining your travel purpose, demonstrating strong ties to your home country, and outlining your financial plans, you paint a comprehensive picture that goes beyond the basic documentation.

Remember, the goal of your cover letter is to provide context, add a personal touch, and preemptively address any questions or concerns that the visa officer might have. Your ability to communicate clearly and professionally through your cover letter reflects not only on your application but also on your overall preparedness for your journey.

In summary, the key to a powerful cover letter lies in its clarity, conciseness, relevance, and attention to detail. By following the guidelines outlined in this guide, you’re setting yourself up for success. Your cover letter is not just a letter; it’s a narrative of your travel intentions, a testament to your reliability, and a crucial step towards achieving your travel goals.

Common Reasons for Schengen Visa Rejection

Here are the common reasons a Schengen Visa application gets denied:

  • No clear travel purpose —a detailed cover letter is a must!
  • Lack of strong ties —reevaluate your application and prove why you must return to your home country!
  • Insufficient travel insurance coverage —make sure you get the right policy!
  • No proof of financial means —convince them that you can afford your trip! Provide bank or credit card statements, VUL, investment portfolio, etc.
  • Passport does not have 2 free pages —where will they attach the visa if your passport pages are already full? You should get a new passport before applying for a visa if there are no more available pages on your old one!
  • No proof of accommodation —you need to prove them that you have a place to stay in the Schengen Area.

Cover Letter For Schengen Visa: How To Write & Template

Last Updated : 03 May 2024

30-Second Summary

To apply for a Schengen Visa , you must submit several documents, including a Schengen Visa Cover Letter.

Your Schengen visa cover letter should include: contact information, recipient's details & introduction and purpose.

A well-written covering letter can significantly improve your application's chances of approval.

This post will provide a template and tips to help you get started.

You may need to apply for a Schengen Visa if planning a European trip. This type of visa allows you to travel freely within the Schengen Area, which includes 27 European countries.

What Is A Cover Letter For Schengen Visa?

A letter that you write and send with your other Schengen Visa application to the Schengen Embassy or Consulate is known as a "Schengen Visa Cover Letter" (or "Covering Letter").

The letter should give more details about the reason for your vacation and your plans to return to your home country.

The letter serves as your introduction by giving the consular staff at the Embassy/ Consulate a quick rundown of your travel history (e.g., travel dates, employment background, etc.).

So, in short, your cover letter for Schengen visa serves as a brief description of your Schengen Visa application.

Why Do I Need A Cover Letter?

Writing a cover letter for Schengen visa is crucial to communicating with the embassy official handling your visa application.

Sometimes you'll have no opportunities to speak to the visa authorities and provide your details. This is due too many embassies employing the VFS services to collect paperwork and deliver the applicant's passport.

Therefore, writing a Schengen visa application cover letter explaining things for you is highly advised because immigration officers base their judgments on the documents you provide.

Why Is A Cover Letter Important?

Most documents you must present are official records, making it difficult to show your previous travels clearly.

In other words, your visa application cover letter is the only document that can genuinely tell a tale.

Because the Embassy/ Consulate officers can grasp who you are and why you need a visa, telling a narrative can be a powerful communication technique.

Each week, hundreds of applications are sent to embassies and consulate s.

Sometimes, those in charge of processing a cover letter lack the time and patience to thoroughly examine each visa applicant's file to establish the reason for the trip and the will to return to their country of residency.

This is not to say that they do not thoroughly review your documents. Still, they usually do so to see if they demonstrate consistency.

Therefore, a perfect cover letter will make things easier for them and ensure a faster  Schengen Visa processing time .

The Basics Of A Cover Letter

To create a compelling Schengen Visa cover letter, focus on details and persuasion. Convince Embassy /Consular personnel of your eligibility for the visa, highlighting the purpose of your travel.

In this post, we'll share key tips for a standout Schengen Visa application, ensuring success and faster processing. But first, let's discuss essential content for your Schengen visa cover letter.

The purpose of your visit to the concerned Schengen Country.

The days you intend to arrive and leave the nation (flight reservations).

A thorough schedule of your activities within the Schengen Area.

Evidence that you have the resources to support yourself.

Wherever you intend to stay.

Additional Schengen-member countries you intend to visit (if applicable).

If you have a sponsor for your trip, describe your relationship with them and how they will help you (if applicable).

If you cannot submit any required documents, explain why and what substitute documents you provided.

Any additional information you deem pertinent.

If applying for a double entry or multiple entry visa : the reason why you need to be allowed more than one entry.

You can demonstrate the reason for your journey with the supporting/required documentation.

Important Notes For The Perfect Cover Letter

First, ensure you demonstrate your tourism intent with a detailed travel itinerary . Your visa application cover letter should also include the following :

General tourist attraction reservation tickets (a boat cruise, museum, or festival tickets).

Describe that you are travelling to go sightseeing. Include the names of the places you plan to visit with the exact dates.

You must present proof and include information that shows you plan to travel back to the US (or your home country). Compelling information would include:

An affidavit stating you will return to the US due to business activities.

Copies of your marriage and birth certificates are acceptable proof that you are abandoning your spouse and children in the US.

Copies of your bank statements demonstrating that you have accounts in the US.

A round-trip, fully paid flight to and from the United States.

Before submitting your cover letter for Schengen visa , ensure you demonstrate your intent to return home to a property or residence in the US. Here's a list of visa application documents that prove your US property ownership:

A copy of the title deed to a property that you own.

Copy of your lease agreement.

A affidavit from a relative or friend stating that you live with them.

Lastly, include proof of US employment in your Schengen Visa Cover Letter to assure officials of your intention to return to your job, not seek work in the Schengen Area. Here's a list of visa application documents for proof of employment:

A written affidavit by your employer stating you work for them.

An  employment letter .

Bank statements prove you have a monthly income from a company located in the US.

The most crucial part is to include hard copies of these documents when submitting your Schengen Visa application. These documents will be substantial evidence to prove you will be returning to the US.

Other Types Of Visa Letters

Your doctor must prepare the visa application cover letter on your behalf if you are visiting a Schengen nation for medical care. Your Schengen Medical Visa Cover Letter must include the following information :

Your diagnosis.

Medical history.

The suggested course of therapy for you in the Schengen nation, including its length.

The first thing you should note about the Schengen business visa cover letter is that your employer writes this letter.

It is more or less the same as the Tourist Visa Cover Letter. Still, here, your employer must state the purpose of your trip and confirm that you are completing business-related duties on their behalf.

Please remember that the Business Visa Cover Letter must be written on your company's letterhead.

When you (the applicant) won't pay for your travel overseas, you'll need a Schengen visa sponsor letter from the person who will. This letter must be signed by that individual (the sponsor).

It's a crucial document demonstrating you have the resources to support yourself on your journey (for expenses such as accommodation, food, transport, etc.).

An invitation letter for a Schengen Visa often states that you have been invited by someone or some other body who lives in the Schengen Area (or abroad).

For instance:

Suppose you want to visit a friend or family who lives in the Schengen Area. In that case, you must show them an invitation letter for a Schengen Visa that the resident (your friend or family member) of the  Schengen Area  prepared.

Where Should I Submit My Cover Letter?

Now that we've covered how you must write a Schengen Visa Cover Letter, you're probably wondering where you must submit your cover letter for visa application. Here's a list of ways you can submit your Schengen Visa Cover Letter:

A Consulate or Embassy of the Schengen nation you are travelling to.

If the country you wish to visit does not have diplomatic representation in your country of residency, contact the Embassy or Consulate of another Schengen Country.

A company that handles visa applications on behalf of the Embassy or Consulate of the Schengen Country you are visiting.

The Most Common Schengen Visa Cover Letter Mistakes

Effective logical reasoning is essential alongside your cover letter and Embassy/ Consulate interview. Articulate your motivation for visiting the Schengen Area and your commitment to returning home.

When explaining your plans to return, avoid vague statements like, "I will return to my country of residence since I cannot stay in the Schengen Region." Instead, specify a clear date, such as, "I will return to my country on November 28 as my employer allows a maximum of 4 weeks off."

Include unique trip details in your cover letter, avoiding redundant information like, "I will be travelling to Norway between November 9, 2022, and November 28, 2022, and I will be staying in Hotel Clarion at 20 Ellehammersvej, Copenhagen," when applying for a tourist visa .

While this information is essential, Embassy/ Consulate officers can verify trip specifics through reservations. Maintain a professional tone, but aim to tell a compelling story in your cover letter for visa application.

Your covering letter should include information regarding your trip that is not included in your other documents.

While Embassy/ Consulate officials understand minor language errors, excessive spelling and formatting issues in your cover letter can convey a lack of care and respect for the application process.

Pay meticulous attention to spelling, grammar, capitalization, and structure to appear credible and dedicated. Attending to these details shows you as a well-organized, responsible applicant committed to the visa application process.

Specify the document order for your application systematically.

Begin with the universal requirements (visa application form, passport, insurance, etc.), followed by trip-specific documents (hotel and flight reservations, travel itinerary for tourist visas), and finally, documents based on your circumstances (e.g., employment contract, No Objection Certificate (NOC)).

The specifics and justifications in your cover letter for visa application must correspond to the data and supporting documentation in all other documents you submit.

You risk denying the entire application if you make a statement in your letter that conflicts with or is out of alignment with the documentation you submit to the Embassy or Consulate .

Guide To The Cover Letter For Your Schengen Visa Application

What is a schengen visa application cover letter.

A Schengen Visa Cover Letter (or Covering Letter) is a document written by you and addressed to the Schengen Embassy/Consulate along with the other documents you are required to submit.

The letter should provide additional information concerning the purpose of your trip and your intentions to return to your country of residence.

The letter acts as a personal introduction as it shows to the Embassy/Consulate officers a brief summary of your travel background (e.g., travel dates, employment background, etc.).

In other words, your cover letter is a summary of your Visa application .

Your Covering Letter For Schengen Visa Is The First Direct Contact Between You And The Embassy

The cover letter represents a way of communication between you and the embassy officer, in which you are explaining your reasons for your trip and why you should be accepted.

Please note that some Embassies/Consulates have chosen to outsource the Visa application process meaning that you have to submit your application through an outsourcing company such as VFS Global.

In this case, your cover letter is your only chance to communicate with the Embassy/Consulate officers and explain your details and the reason why you believe they should grant you a Visa as well as your intentions to only travel and not to overstay your Visa, as they will not be able to see you face-to-face.

This letter is not a mandatory requirement meaning that the applications that do not include it will not necessarily be rejected or delayed.

However, we strongly recommend and urge you to submit it as it does more than make a good impression on the Embassy/Consulate officers and speed up your Visa application process – Your cover letter can significantly increase your chances of success because it summarises every item you have provided.

You should submit a Visa application cover letter even if you have been invited by a partner company to the Schengen Region and you are applying for a Business Visa .

The Importance Of The Schengen Visa Cover Letter

The cover letter is an important document as it gives you the chance to introduce yourself and make your travel purpose clear.

The letter is important for your application because:

● It gives you the opportunity to provide information that your other documents cannot provide.

Most of the documents that you must submit are official documents that cannot clearly highlight your travel background.

In other words, your covering letter is the only document that can actually tell a story.

Telling a story can be a powerful communication tool because the Embassy/Consulate officers can understand who you actually are and why you should get a Visa.

● It helps the Visa officers save time and therefore speed up your application process.

Embassies/Consulates receive hundreds of applications weekly.

Sometimes, those responsible for processing them do not have time and patience to figure out the purpose of the journey and the intentions to return to the country of residence by analysing all of the documents of each single Visa applicant.

This does not mean that they do not check your documents carefully but they typically do it to determine if they show consistency. Therefore, this letter can simply make your application process easier for them.

How To Get A Schengen Visa Cover Letter

Getting most of your Visa application documents depends on bureaucracy/laws in your country of residence/other people that must write and sign your documents.

The cover letter is the only document that you must write and sign by yourself (together with the Visa Application Form and your day-to-day travel itinerary ).

Once you have gathered all of your documents, you can write the letter on your computer.

We recommend you write it after you gather the rest of your documents because the letter should include a list of the documents that you are submitting for your application.

Important: If you are not familiar with this type of letter, you can download one of our templates (please select the one that is the most relevant for your situation) and fill it out following our suggestions. Please contact us for further details.

Common Mistakes To Avoid When Writing A Schengen Visa Cover Letter

Even though the cover letter should not be very long and must contain only key information about you as an applicant, there are several mistakes that you should avoid making.

Also, do not forget that the cover letter does not have to be too long and the information on it must match the information on your other documents .

Not all the below errors can lead to the rejection of your application but your chances of approval may decrease.

Therefore, we strongly recommend you double-check your covering letter before submitting it so that you can be sure it does not contain one of the following mistakes:

  • Not using logical arguments to explain the purpose of your trip and your intentions to return to your country of residence

Logical reasoning is a powerful tool not only for your covering letter but also during the interview with the Embassy/Consulate officers.

Make sure you know how to explain the reason as to why you travel to the Schengen Region and your intentions to return to your country of residence.

For example, “ I want to visit France because I like it ” or “ I want to visit France because it is a nice country ” are not logical reasons as to why you want to visit France (or another Schengen country).

You should be more specific. For example: “ I want to visit France because I’ve been fascinated by French culture ever since I was a child ”.

The same rule applies to the explanation of your intentions to return to your country of residence. Writing “ I will return to my country of residence because I cannot stay in the Schengen Region ” is not a logical reason as to why you will not overstay your Visa.

You can write instead: “ I will return to my country on August 15 because my employer did not allow me to take more than 3 weeks off ” or “ I will return on September 20 because I must attend a vocational training course upon the request of my employer .”

  • Providing the same information that is already outlined by your other documents

One of the purposes of your covering letter is to outline details about your trip that are not indicated by your other documents.

For example, in case of a tourist Visa application you should not write: “ I will be travelling to France between October 20, 2020, and November 17, 2020, and I will stay at Hotel Lafayette in 23 Rue des Messageries, Paris .”

Of course, this information is important because it shows relevant details about your trip but the Embassy/Consulate officers can easily understand your trip details by checking your flight and hotel reservations.

As we mentioned above, you should try to tell a story in your covering letter (even though you have to maintain a professional tone).

For example, you can write: “ I will be travelling to France between October 20, 2020, and November 17, 2020. I have chosen to spend almost one month in France as I strongly believe that I need time to visit the most important tourist attractions and get to know the French culture. I will stay at Hotel Lafayette in 23 Rue des Messageries because the hotel is located within walking distance of the most important places of interest in Paris.”

  • Submitting a cover letter that contains spelling mistakes

Not all applicants have an excellent command of English, and the Embassy/Consulate officers won’t judge you if you make some grammar mistakes (especially because it is highly likely that English is not their native language).

But a covering letter that contains too many spelling mistakes and does not follow some specific layout rules (the way that words are set up on the page) will make the Embassy/Consulate officers believe that you do not have a sense of consideration for the event and are not respecting the application process (which is your Schengen Visa application).

Therefore, you need to pay attention to the spelling, punctuation, capitalisation, and layout of the letter.

Please read carefully the two cover letter sample paragraphs below (please note that none of them is a complete sample cover letter and you need a more detailed template/sample in order to write a cover letter for Schengen Visa application):

Sample 1:

“Dear sir madam I would like to apply at your consulate general for a schengen visa for visit friend in Netherlands.

My name is raji anand. I will be travelling from new delhi to amsterdam between octobr 15 and November 17  My employer has already approved my vacation and leave from work for the duration of 1 months. I hold an Indian passport no xxxxxx and I have attached passport size pictures to these cover letters. please do not hesitate to contact me for more information !Thanking you in advance, Raji anand. ”

“Dear Visa Officer,

I would like to apply for a Schengen Visa upon my intention to visit the Netherlands between October 15, 2020 and November 17, 2020.

My name is Raji Anand and I am an Indian citizen. I will be travelling from New Delhi to Amsterdam to visit my close friend, John Smith, who has also provided a sponsorship letter to support my Visa application as he will be covering all of the expenses for the duration of this trip.

I have attached to this letter the following documents [List of documents] .

Please do not hesitate to contact me for any questions and clarifications.

Raji Anand”

Bad spelling and writing mistakes (like the ones in the first sample) will make you seem less credible and the Embassy/Consulate officers may believe that you do not have a sense of consideration for your application process.

At the same time, attention to details such as spelling, punctuation, and capitalisation (as shown by the second sample that we provided as an example) will make the Visa officers think that you are an organised and responsible person who put effort into preparing the Visa application.

  • Not presenting the list of documents you are submitting in order of priority

Show the Embassy/Consulate officers that you are an organised person.

You should mention the list of documents that you are submitting for your application in order of priority (and not randomly).

Start with the documents that are mandatory for all applicants no matter their personal situation (application form, passport, insurance, etc.) and then add the documents that are mandatory according to the purpose of your trip (e.g., hotel reservations ,   flight reservations , and travel itinerary – if you are applying for a tourist visa) and the documents that are mandatory according to your personal situation (e.g., employment contract , No Objection Certificate (NOC) Letter from your Employer, payslips , your bank statements , etc. – in case you are employed and you pay the expenses for your trip by yourself).

For further details concerning the Schengen Visa requirements and the order that you should keep when listing them in your covering letter, please check out this blog post.

  • Submitting a Cover Letter that does not align to information and facts provided in other documents

The details and reasons outlined within your cover lettering must align to the same information and evidence you have provided in every other document you are submitting.

If you contradict or state a point in your letter that does not align to the documents you provide to the Embassy/Consulate, you could jeopardise the entire application, which may cause your Schengen Visa to be rejected.

For example, if in your cover letter, you outline that you are travelling to stay with your family who lives in Italy but you do not include an invitation letter or sponsor for accommodation letter from them, then it contradicts the information in your application.

Another example is that you say you are traveling for tourism but then you have an invitation letter from a business in your documents. Or, when your passport number and other personal details in your letter do not match the details in your other documents.

A Perfect Purpose of Travel for Canada Visitor Visa (Sample Letter)

“What is the meaning of ‘The Purpose of Travel Letter’ in relation to obtaining a Canada Visitor Visa?”

It is a type of Statement of Purpose (SOP) letter that you must submit very carefully to avoid a Canada visitor visa refusal.

While applying for a temporary resident visa (TRV) or a visitor visa , you must provide a solid purpose of travel Canada visitor visa letter, or you might get a rejection via email including messages like these:

“I am not satisfied that you will leave Canada at the end of your stay, as stipulated in subsection 216(1) of the IRPR, based on the purpose of your visit.”

“the purpose of your visit to Canada is not consistent with a temporary stay given the details you have provided in your application”

This guide will review the requirements for a Purpose of Travel Letter and provide a sample letter for a Canada Visitor Visa to demonstrate what an ideal letter should look like.

Purpose of Travel Letter Canada

  • Purpose of Your Trip : Clearly state whether you intend to travel for work or recreation. Be truthful and provide information supporting your purpose.
  • Reason for Choosing Canada : Explain why you are visiting Canada instead of other countries. This could be due to tourism interests, attending events, or visiting relatives.
  • Travel Itinerary : Include a detailed travel itinerary answering questions like when and where you intend to come to Canada, where you will stay, other cities you intend to visit, and when you plan to leave Canada.
  • Financing Your Travels : Mention how you will finance your travels, including how much money you have and will bring. If someone else is financing your trip, mention this and provide proof.
  • Intention to Return to Your Country : You intend to return to your home country once your trip ends. Reasons for family ties, jobs, or property/assets in your home country.
  • Details About Your Health : Include relevant details, such as significant health conditions, recent surgeries, and COVID-19 vaccination status.
  • List of Documents : The list of documents to include with the temporary visa application includes an identity document, Proof of vaccination, Bank statements, and a signed invitation letter from a Canadian resident.

What is the Purpose of a Travel Letter?

The Purpose of Travel letter describes your background, what you intend to do in Canada, and your intention to return to your home country. Canadian visa officers typically review this letter when they assess temporary visitor visa applications. Such letters are important because they can demonstrate you can be trusted to enter Canada and leave according to the Government of Canada’s rules .

What Should You Write in Purpose of Travel Letter?

A Canadian visa officer typically wants to see that you have a valid reason to enter Canada, have the funds to support your trip, are in good health and intend to leave before your visa expires.

Below is a detailed breakdown of the different things to include in your purpose or travel letter.

1. Purpose of Your Trip

  • Your letter should state whether you intend to travel for work or recreation.
  • You must be truthful, as the rest of your letter will include information backing up this purpose.
  • You should note that recreation can include any number of activities, including general tourism, attending events, or visiting relatives.

2. Your Reason for Choosing Canada

  • A Canadian visa officer will also be interested in knowing why you are visiting Canada instead of other countries.
  • If you’re visiting as a tourist, express your interest in exploring Canada’s diverse cities, natural beauty, and cultural heritage.
  • If you’re attending a wedding or a similar family or friend-hosted function, highlight this reason. Explain how the event connects you to Canada and adds significance to your visit.

3. A Travel Itinerary

You will also have to include a detailed travel itinerary that answers:

  • When do you intend to come to Canada?
  • Which city do you intend to land in?
  • Where do you intend to stay?
  • Are there any other cities you intend to visit or stay in?
  • When do you intend to leave Canada?

4. Who is Financing Your Travels

A Canadian visa officer must also see that you can finance your travels. Therefore, you should mention how much money you have in your bank account and how much you will bring with you. If someone else is financing your trip, you must mention this and ask them to provide proof.

5. Your Intention to Return to Your Country

You must also state that you intend to return to your home country once your trip ends. You can directly state the date you intend to leave Canada. However, you will also need to supplement this with additional reasons. This could include:

  • Family ties in your home country
  • A job or property/assets you need to return to your home country

6. Details About Your Health

You should also include any relevant details about your health. For example, you can talk about any significant health conditions you suffer from or recent surgeries. You should also mention which COVID-19 vaccines you have received and the appropriate vaccination dates.

7. List of Documents

Lastly, list any documents you will include with your temporary visa application. This includes:

  • Identity document
  • Proof of vaccination
  • Bank statements
  • A signed letter from the person inviting you to visit Canada (if applicable)

Applying for Visitor Visa (Temporary Resident Visa)

August 1, 2022.

Rahul Sharma Flat No. 90, The Amaryllis Apartments Karol Bagh, NEW DELHI, 110005 INDIA

Attn.: Visa officer

Subject: Canadian Visitor Visa Application

Dear Sir/Madam,

I have recently been invited to attend my brother’s wedding in Mississauga, Ontario, Canada. My brother, Virat Sharma, who is a Canadian citizen, has planned to host the wedding ceremony on February 14th, 2023, and I would like to enter Canada for two weeks, from February 8 to 21, 2023, to attend the event.

My Travel History

I previously visited Canada for one week in August 2013 to help accompany my brother, Virat Sharma, before he started his education at York University. I have remained in India since then and have maintained steady employment in New Delhi’s IT industry.

My Employment and Savings

My current employer is Kbeattech, a Digital Solutions Company based in New Delhi. I receive a fixed salary of INR 100,000 or CAD $1,600 per month as a programmer and currently have INR 2,300,000 or CAD $37,400 in savings stored in my primary bank account in India. You can review my savings in the bank statement attached to my temporary visitor visa application.

I intend to bring approximately CAD $7,000 with me for my visit to Canada and will pay for my full expenses during my stay.

Travel Details

I will be residing at my brother’s residence at 303 City Centre Dr, Mississauga, ON L5B 1M7, Canada, once I arrive on February 8, 2023. I will stay at this residence for the duration of my visit. My brother’s contact number is 647-000-0000.

The wedding will be held at Mississauga Grand Banquet & Event Centre, 35 Brunel Rd, Mississauga, ON L4Z 3E8, Canada. I intend to visit different attractions such as Dundas Square, Kensington Market, and the CN Tower in the Greater Toronto Area during my stay. I have no intention of venturing outside this region.

Health and Vaccination Details

I am also in good health and have remained free from major health issues in my life. I have received two COVID-19 vaccinations to date. These are:

  • Moderna Vaccine (First Shot): Received on June 21st, 2021
  • Moderna Vaccine (Second Shot): Receive on July 14th, 2021

I have attached my vaccination certificate with my temporary visa application.

Intention to Return to India

I intend to leave Canada by February 21st, 2023, via Toronto’s Pearson International Airport. My parents, Akash Sharma and Kinshuk Sharma reside at my residence in New Delhi, and I intend to return to them after my trip to Canada. I have also informed my employer that I will be returning to work by February 22nd, 2023

I would appreciate your support in issuing a temporary visitor visa before my intended travel date so that I may arrive in time to help organize and participate in my brother’s wedding. I have included the information requested in the original application package. Please contact me at +91 2136-724890 or [email protected] if you need me to submit additional information or documents for my application.

Other Types of Purpose of Travel Sample Letters

The above sample letter should be helpful if you intend to visit a sibling in Canada. However, depending on your background and travel reasons, you may need to adjust it.

For example, a sample letter to demonstrate the purpose of travel for a Canada visitor visa for parents would need to include a marriage certificate and details demonstrating the relationship between parents.

Similarly, a purpose-of-travel Canada tourist visa sample letter would need to include additional details about each city you will visit and where you will stay. So, it would help if you mentioned hotels , hostels , or Airbnb rentals you will reside at.

A Sample Cover Letter for Tourist Visa and How to Create One

By Alice Ross | PASSPORT & VISA

  • PASSPORT & VISA » A Sample Cover Letter for Tourist Visa and How to Create One

a sample cover letter

If you're planning to  travel abroad , in many cases you will need to obtain a visa beforehand. The requirements vary according to your country of origin and your destination. But for a lot of people, the process to be granted a visa can seem daunting and unclear. In this article, we share important tips about visas to equip you with the knowledge to prepare for your international trip. Read on to find out more about how tourist visas work, including a very useful sample cover letter for your tourist visa application.

What Exactly Is a Tourist Visa?

A tourist visa or visitor visa is an official document that allows you to get in another country. In general, you are likely to need one every time you visit another country. However, this depends on which country you are from and where you are going, as some countries have agreements that allow entrance even without it.

A tourist visa may take different forms: it can be a paper document, although it most often comes as a simple stamp in your passport . Some countries require you to arrange your visa before arriving in the country, while others issue it to you once you land at the airport.

A tourist visa indicates how long you are allowed to stay in the country. It also defines which activities you are allowed to participate in or not while there, such as working and studying.

Other Types of Visas

how long is a passport good for

A tourist visa is the most common and most acquired type of visa. It is usually only valid for a short period of time, commonly ranging from a few weeks to a couple of months.

This is what you will need if you are just planning to visit the country. A tourist visa however doesn't allow you to work and study while you are in a particular country.

Others types of visas include student visas, business visas, media visas, fiancé visas , and many others depending on the place you're travelling to.

Resident visas are also available for those who want to live in a particular country. You will normally need a valid reason to obtain this type of visa, as they tend to be the most difficult to get.

What You Need to Apply for a Tourist Visa

As mentioned above, tourist visa requirements vary with your nationality and your destination, as well as where you make your application. You should always check the instructions application to your specific situation on the relevant embassy or consulate website. Having said that, there are some general requirements and common documents that are needed for most tourist visa applications.

These include:

  • Passport valid for at least six (6) months beyond the intended period of stay
  • Duly filled out visa application forms
  • Confirmed round-trip tickets
  • Cover letter for tourist visa or letter to the consulate

Top tip: travel insurance for your visa application

Most tourist visa applications require you to show proof of travel insurance coverage for the duration of your trip. We use and recommend SafetyWing as our preferred travel medical insurance provider. It's the most flexible and affordable we've found, starting at just $1.32 per day. They can also provide a visa letter to support your application. If you're looking for more comprehensive coverage, World Nomads is also a reliable and very popular alternative among global travelers. Note: In our experience and to the best of our knowledge, these two travel insurance options fulfill the requirements for most tourist visa applications. However, please make sure to check that they meet the specific criteria applicable to your individual case.

The cover letter or letter to the consulate is necessary for tourist visas that require interviews. This letter needs to explain why you want to visit the country and where you will be staying in the country. It must also outline the intended dates and duration of your stay.

Moreover, this letter is your way to tell the embassy if you are getting a sponsorship from a friend, parents, or a romantic partner who are currently based in that country. It's important to take your time to write your cover letter, although you should also make sure to keep it to-the-point and not too long.

If the trip is going to be  sponsored by someone else , make sure to include the following details in the cover letter for your tourist visa application:

  • The name of the person who is going to sponsor your trip
  • The job or source of income of the person who is going to sponsor you
  • Your proof or relationship (normally pictures)
  • Proof of financial capability of your sponsor
  • The expenses your sponsor will cover

The cover letter is a really important document to provide before your trip. It states every important thing you want to tell the embassy or consulate. Make sure that it mentions and explains every document you've submitted.

To give you a better insight into how to create a cover letter for your visa application, here is a sample cover letter for a tourist visa needed to enter a country:

Sample Letter for UK Tourist Visa Application (2019 Cover Letter Template)

In this article, we are going to discuss how  you can write your UK visitor visa supporting letter in 2019.

This is because your goal is going to be the same whether you are applying for a UK, US, Canadian or a tourist visa for another country – to convince the person deciding your application that you will return to your home country and not overstay .

This is one of the most helpful things that you can do to increase your chances of a successful UK visitor visa application .

After all, the Home Office caseworkers are very suspicious people and you should do everything that you can to persuade them that you are a ‘genuine’ and ‘credible’ visitor.

There is no one set letter template that can be effectively used for all UK visitor visa applications since every application is different and unique to your own individual circumstances.

There are different aspects that your visit visa supporting letter should discuss and we will discuss each of them in turn:

  • An introduction / summary of your visit visa application
  • List of documents that you are including
  • The purpose of your visit
  • Why you will not overstay your UK visa
  • The dependants that you will be applying with (if any)
  • Your ability to adequately maintain yourself during your UK visit
  • Whether your sponsor meets the sponsor requirements (if you have one)
  • Confirmation that you are not using frequent and successive visits to make the UK your main home (if relevant)
  • Potential weaknesses in your application
  • Contact details of other relevant persons

SUB-HEADING NUMBER 1

Introduction/Summary

My name is [NAME] and I am [NATIONALITY] . I am applying from [COUNTRY OF RESIDENCE] and I am applying for a standard [6 month/2 year/5 year/10 year] UK visitor visa.

In discussing that I am a genuine and credible UK visitor visa, this letter will cover:

  • A list of the supporting documents that have been submitted alongside this supporting letter

The purpose of my visit

  • Reasons why I will comply with the terms of the visa and why I will  not overstay
  • Information relating to  dependants applying with me (delete if appropriate)
  • My ability to adequately maintain myself [ and any dependants (if relevant) ] during intended UK trip
  • Information relating to my sponsor (delete if appropriate)
  • Why I am not using frequent and successive visits to make the UK my main home [( if relevant )]
  • Potential perceived weaknesses in my application
  • Contact details of other relevant persons you may wish to contact

Why is this section important?

This section provides a clear outline of the things that Home Office caseworkers are most interested in.

By providing a clear and relevant structure , you are immediately letting the Home Office caseworker know that you have a good understanding of the Immigration Rules as they apply to visitor visas.

It also makes it easier for the Home Office caseworker to read. The clearer and easier you make it for the Home Office caseworker, the happier that they will be.

In support of my UK visitor visa application, I have included the following documents:

The Home Office tend to lose documents quite often, unfortunately.

By stating that you list a certain documents, the Home Office caseworker will then know that the document may have indeed been lost on the way.

This increases the likelihood of the Home Office caseworker getting into contact and asking for the missing document .

By having something similar to the above table, you again increase the clarity and ease of reading for this cover letter.

The Home Office caseworker will be able to refer to this table to quickly identify the relevant document when considering your application and it will again provide good impression.

SUB-HEADING NUMBER 3

The main purpose of my visit is to [INSERT ONE SENTENCE SUMMARY] .

[Discuss what you intend to do in the UK in more detail here]

I am fully aware of the permitted and prohibited activities found in Immigration Rules Appendix V: visitor rules .

Example Itinerary #1

The main purpose of my visit is to attend my niece’s university graduation .

The following is my itinerary and includes the likely costings of the UK visit:

23rd May (Day 1)

Hopefully, I will be flying to London Heathrow from Bangkok, Thailand. As evidenced by the attached return flight tickets and return flight ticket receipts (Appendix 8 and 9), the cost of return of this flight is £884.

24th May (Day 2)

I will be picked up at the London Heathrow by my sister and will stay at her accommodation, 22b Iverson Road, London, NW6 2HE for two nights.

Please see the attached letter of support from my sister, which has been labelled Appendix 11.

Whilst I expect that I will spend around £30 on airport food, I will incur no costs for accommodation.

25th May (Day 3)

I will attend my niece’s graduation on this day, which is the main purpose of my trip to the UK.

The graduation is taking place at the University of Leeds campus.

We will travel from my niece’s accommodation in London to the University of Leeds by train, the expected cost of which is £80 for a return train ticket (see Appendix 13).

In support of these plans, please see the attached letter from my niece’s university (Appendix 5), confirmation of my niece’s graduation (Appendix 4) and the letter of support from my niece (Appendix 7).

Since the graduation is scheduled to finish at 11.30am, this will give us plenty time to enjoy a nice meal at our favourite restaurant, ‘Almost Famous’ in Leeds.  I will have £50 set aside for this meal.

Once we have arrived back in London, I will again stay at my sister’s accommodation, which will mean that I will incur no extra costs with regards to accommodation.

26th May (Day 4)

My last day is expected to start early in the morning as my sister will drive me to London Heathrow in time for my 8am flight back to Bangkok.

I have set aside £30 for food and drink at the airport.

The total expected cost for this trip is therefore £190 for my 4-day trip, not including the return flight tickets that I have already paid £884 for.

In light of my personal savings account at Appendix 17 that shows savings of £12,200 (as converted by oanda.com), it is therefore clear that I can adequately provide for myself during my 4-day visit to the UK.

Example Itinerary #2:

The main purpose of my visit is to attend my niece’s university graduation.

The purpose of your visit is a key consideration when deciding whether the Home Office should grant your UK visitor visa application.

The clearer that your purpose for visiting the UK is, the more genuine and credible you will appear to be .

Because of this, it is therefore helpful if you are able to use this letter of support to clearly discuss your plans and the costs associated with the UK trip .

In this section of the letter of support, it will be good if you cross-reference your stated intentions with evidence that you submit in your application.

For example: I will be taking the train on the 25th May, 2020 from London Heathrow to Leeds train station, which will cost £80. Please see appendix 13 that shows this .

It will also be good to get letter of supports from family or friends that supports your stated intentions.

For example, if you are visiting a specific family member or friend in the UK, a letter of support from them will also be helpful to include.

SUB-HEADING NUMBER 4

Why I will not overstay the UK visitor visa

I fully intend to return to [my home country OR make an onwards journey to COUNTRY] before my UK visitor visa expires.

I have a good life back home and I would absolutely not want to trade it for a life as an outlaw in the UK.

The following are reasons that I would you to consider when deciding my application:

#1 My good immigration history

My unblemished UK immigration history is one indication that suggests that I am likely to comply with the terms of the UK visit visa and return to my home country prior to the visa expiration.

Example : “In 2012, I was issued a UK visitor visa for 6 months (see appendix 13 which is a copy of page 34 of my attached passport). In 2015, I was also issued a UK visitor visa (see Appendix 14 which is a copy of page 36 of my attached passport. In all of the above instances, I left before the expiration of the visa. I also complied with all of the visa conditions.”

#2 My family ties to my home country

My family back home is another strong indication that I will return to my home country prior to the UK visitor visa expiring.

[Discuss family members back home here, especially if they are dependant on you].

Example : My son, Jeremiah (13 years of age) and my daughter, Jodie (15 years of age), will stay in my home country of Bangladesh during my 9-day trip to the UK. Please see their attached passport scans at Appendix 8 and 9. During my UK visit, Jeremiah and Jodie will be cared for by my husband, Andy Jones, as evidenced by my husband’s letter of support at Appendix 14, which includes a copy of his passport at Appendix 15.

#3 My financial and economic ties to my home country

My financial and economic ties to my home country are other factors that strongly suggest that I have no reason to trade my life in [HOME COUNTRY] with a life as an illegal alien in the UK.

My assets and income are discussed in more detail below, under the sub-heading ‘My ability to adequately maintain myself in the UK’.

#4 Other links with my home country

Example : I am currently studying a degree at Chiang Mai University, Thailand. Please see the attached letter from my university at Appendix 6 that confirms this. Please also see the attached term dates for my course at Appendix 7 that confirms that my intended trip to the UK is not during term-time but rather during the summer holidays.

The main reason why visit visa applications are refused is that the Home Office are scared that you will use the UK visitor visa to enter the UK,  disappear and overstay your visa illegally .

SUB-HEADING NUMBER 5

Dependants I am applying with (if relevant)

As stated in the online application form, I am applying with child dependant(s), [NAME(S) AS STATED IN PASSPORT(S), AGE(S) & THEIR RELATIONSHIP TO YOU] .

Obviously, if you are not applying with any child dependants, you can ignore this sub-heading .

However, if you are applying with child dependants, it is important that you are fully aware of the additional requirements that will apply.

In summary, you must show:

#1 That you (or your sponsor) will be able to adequately provide for any child dependants that are also applying for a UK visitor visa.

This is obviously linked with your ability to adequately maintain yourself – i.e. by the showing of assets and income.

In order to maintain a clear structure for this letter of support, you should make sure you sufficiently discuss your finances in the subheading ‘My ability to adequately maintain myself during the UK visit’ below.

#2 That all duties of care obligations with regards to child dependants will be met

Simply showing sufficient financial assets and income will not always suffice.

If, in light of all the circumstances, it is not clear how the child’s welfare will be looked after in the UK, it is likely that the application will be refused .

Like many UK visa applications, the child’s welfare is of an extremely high importance .

#3 That parental consent is given

Parental consent is a requirement for children’s UK visitor visas.

This requirement is usually satisfied where the visit visa applications are made on behalf of a child, although i t is important that you are aware of the situations where the requirement will not be met .

If you are divorced with your child’s other parent, the parent with sole responsibility or legal custody must provide parental consent, which can be met via a letter of support.

SUB-HEADING NUMBER 6

My ability to adequately maintain myself during the UK visit

I confirm that I can adequately maintain myself [as well the dependants who are applying with me] . To support this, I will now discuss my sources of income and financial assets.

#1 My sources of income

#2 My assets and/or cash savings

#3 My on-going financial commitments

Example : I am employed as a journalist for The Daily Paper Company in Pakistan. I receive a gross annual salary of PKR 3,000,000 and I have permission from my employer to have paid leave for the week that I will be visiting the UK (see Appendix 8, which is a signed letter from my employer). For clarity, PKR 3,000,000 equates to 15,102 pounds sterling, as stated by the closing spot exchange rate found on www.oanda.com . As evidenced by my attached bank statements (see Appendix 3), I saved a total of PKR 1,500,000 over the past 8 months to help fund my UK visit. This is the equivalent of £7,550 pounds sterling. I also own my own house in Pakistan. Please see the attached documentation (Appendix 11-13) for 12 Wahdat Road, Lahore. The property’s worth, as stated on zoopla.com, is PKR 13,000,000 (Appendix 14).

It is crucial that you are able to convince the Home Office caseworker that you have sufficient resources to maintain and accommodate yourself adequately for the whole of your planned visit to the UK.

This includes the additional costs associated with applying with any dependant children.

If the expected cost of the visit is high when compared to your overall resources (or your sponsor’s overall resources), then questions may be raised regarding the genuineness of your intentions .

Unlike a UK spouse visa , there are no set rules regarding the amount of funds that you (or your sponsor) will need to show.

For example, there is no rule saying that an income of £10,000 is required or cash savings of £5,000 or more.

Instead, the Home Office caseworker will look at your circumstances (and your sponsor’s circumstances, if you have one) and your stated intentions and then make a decision based on that.

At the very minimum, it is clear that you have to prove that you can afford:

I) The cost of travelling to and from the UK ;

II) Any costs associated with applying with dependant children ;  and

III) What you say you intend to do in the UK (e.g. shopping or visiting a family in London).

There are a few points to note regarding evidencing assets and income .

Firstly, both your supporting letter as well as the documents that you submit should make the source of cash savings clear.

If your personal bank account shows a sudden and relatively large injection of cash into your bank, this may seem suspicious.

Secondly, you should make it clear that you can access  to the cash savings.

SUB-HEADING NUMBER 7

My sponsor (include this sub-heading only if you have one)

I am being sponsored by [ SPONSOR’S NAME ], who is my [ RELATIONSHIP TO APPLICANT ]. As evidenced by the attached documentation, [ SPONSOR’S NAME ]’s [ASSETS/INCOME] is more than enough to adequately provide for myself [and my dependant children who are applying with me] during my stay in the UK.

I can confirm that the relationship between [ SPONSOR’S NAME ] and I is genuine. Please see the attached documentation regarding this, as well as the attached letter of support from [ SPONSOR’S NAME ] that confirms [ HIS/HER ] intention to sponsor me.

  • Whether the relationship is personal or professional
  • How you met,
  • Where you first met,
  • How often you meet,
  • How often you communicate with each other]

SUB-HEADING NUMBER 8

Why I am not using frequent and successive visits to make the UK my home (include this sub-heading if you have previously been issued a UK visitor visa only)

SUB-HEADING NUMBER 9

Potential weaknesses in my application

Include this section only if there are any potential weaknesses in your application.

I recognise that [ REASON 1 ] can raise doubts about the genuine and credibility as a visitor.

[Discuss this here and explain why that should not adversely affect your UK visitor visa application]

I recognise that [ REASON 2 ] can raise doubts about the genuine and credibility as a visitor.

Example : In 2016 I was previously refused a UK visitor visa on the grounds that I was not able to adequately show that I can maintain myself. Please see appendix 3, which is a copy of this refusal letter. It was unfortunate that important financial documents, such as employer pay slips and bank statements, were not received by the Home Office – hence not being able to show that I could have adequately maintained myself. In any event, one month after receiving the refusal letter, I submitted another UK visitor visa application. Fortunately, the Home Office received all of the supporting documents and my UK visitor visa application was swiftly approved. In light of this, my previous UK visitor visa refusal should not adversely affect this application as not only have I shown adequate funds to cover my trip to the UK in this application, but the reason for the previous refusal does not apply to my case.

It is important to directly address the potential weaknesses of your application.

This is because Home Office caseworkers are trained specifically to identify weaknesses in applications.

SUB-HEADING NUMBER 10

Relevant contact details

I can appreciate that you may want to contact my friends and family.

If you would like to do so, the following are some friend and family member’s contact information:

[FAMILY OR FRIEND NAME 1], [RELATIONSHIP TO ME]: [PHONE NUMBER & EMAIL]

[FAMILY OR FRIEND NAME 2], [RELATIONSHIP TO ME]: [PHONE NUMBER & EMAIL]

[FAMILY OR FRIEND NAME 3], [RELATIONSHIP TO ME]: [PHONE NUMBER & EMAIL]

[FAMILY OR FRIEND NAME 4], [RELATIONSHIP TO ME]: [PHONE NUMBER & EMAIL]

[FAMILY OR FRIEND NAME 5], [RELATIONSHIP TO ME]: [PHONE NUMBER & EMAIL]

If you would like to contact any other individuals or organisations and I have not provided their contact details, please feel free to get in touch and I will be more than happy to provide them.

In some cases, the Home Office caseworker may want to contact relevant third parties in your application in order to validate information to help decide whether they think you are a genuine and credible visitor.

Hopefully you found this article helpful.

Spending time writing a comprehensive covering letter is certainly a worthwhile activity as it is the best place for you to discuss relevant pieces of information in detail.

When writing the covering letter, remember:

  • Using simple, straightforward English is best .
  • Try to keep the contents of your supporting letter as relevant as possible
  • When you can, cross-refer to documentation throughout your supporting letter
  • As long as the structure of the letter is clear, it is worthwhile discussing different aspects of your application in great detail .

INVITATION LETTER March (DATE) To: Citizenship and Immigration Canada I, , a citizen of Canada was born on , resident of , I hereby, would like to verify my purpose to invite Mr. to visit me in Canada for a period of time starting on I am requesting to consider Mr. application for a visitor's visa for the following reasons. During their stay in Canada, will live with me and my family in our home, which we have possession of and where we live. I vow to provide lodging, board and to pay for all expenses incurred during their visit to Canada and I vow to be legally responsible for them. I hold enough funds to bear all the expenses mentioned in this. I have been working at . I undertake to make sure that do not remain in Canada further than the period allowed for their stay and that they will return to as stated by the conditions of their visitor's visa. Should you need any further information, please feel free to contact me. Best regards,

To Citizenship and Immigration Canada, My name is XXXXXXX, a Canadian citizen, born on XXXXXXX, and currently residing at XXXXXXXXXXXXXXXXX. My cellular contact number is XXXXXXXXXXXX. I'm currently working as an electrician with XXXXXX, for over 2 years. I am currently living alone. Please see attached birth certificate photocopy. My purpose for writing this invitation letter is to invite XXXXXXXXX, my wife who is a citizen of Vietnam, to come to Canada for the purpose of visiting me, and also to travel to Vancouver and a few other towns, together. She was born on XXXXXXXXXXX in Ho Chi Minh City, Vietnam. Her current address is XXXXXXXXXX Ho Chi Minh City, Vietnam. Her phone number is XXXXXXXXX. Please see the enclosed documents showing her parents owning the home at the above address, her entire family having lived at the home, and her birth certificate showing the names of her parents. Our proposed length of stay is 3 weeks, from August 29 to September 21, 2014. I would like you to consider XXXXXXXXXXXX's visitor visa application for the following reasons. XXXXXXXXX was born in Ho Chi Minh City, Vietnam and is currently working as a XXXXXXXXXXXXXX. She has lived at her current address for almost her entire life. Her parents, eldest sister, brother-in-law, two nieces, sister-in-law, and herself are currently living at this address. Her second sister (XXXXXXXX) and brother (XXXXXXXXXX) also lived at her current address for a large majority of their lives, but moved out in 2013 and 2008, respectively. Please see IMM5645 for their current addresses. XXXX also has many relatives living in Vietnam as well, but has no family members or relatives residing in Canada, with the exception of myself. Therefore, XXXXX's family ties in Vietnam are very strong, and has a compelling tie to return to Vietnam. Her employment history includes being a XXXXXXXXXX for almost 2 years, and is currently a XXXXXXXXXXXXX. At her current job, she earns on average, around XXXXXXXXXXXX a month, which is 5 to 7 times greater than the average salary of a Vietnamese worker, and can support herself comfortably, hence she is able to gather more than enough funds for her stay in Canada. XXXXXXXXX has an extensive travel history, having been to USA under a student visa, twice to Singapore, China, and Malaysia. She also does not have any criminal record in Vietnam or in the USA, please see attached criminal record checks. XXXXXXX and I got married on Dec 30, 2013, and had our marriage registered a couple weeks later, in Vietnam. I have visited XXXXXXXX twice in total, each visit being 2 months each, in length. However, XXXXXXXX has never been to Canada before, and we have talked about her coming to Canada to not only visit me and my family, but also to travel around to explore a little bit of Canadian culture. More importantly, I want her to visit me so that she can see what it would feel like to live here, to live in her future house, and what her lifestyle would become in the future. I feel it is only fair that after having visited her twice already, I would like for her to visit me at least once. She currently has a permanent residence application ongoing, with me being the sponsor. However, this does not mean she intends to overstay her visa. XXXXXXXXX understands this and only wants to get this visitor visa to be with me, not to use it to stay here illegally. Also, XXXXXXXXX does not plan on working, or seek work while on this visa, nor do anything else that would violate the terms of the visitor visa. Attached to this application are plans for our upcoming trip to Europe. We plan to spend half the trip living in Paris with a friend who will let us stay with him without expenses. Combined with both our incomes, we can easily afford this trip, and will absolutely go, pending any unexpected changes to our plans. Because of this planned trip, this shows XXXXXXX has no plans to stay in Canada on her visitor visa. During XXXXX's stay in Canada, she will live with me in my home in Edmonton, therefore she will have no living expenses. See attached mortgage document showing proof of ownership. I will also be the one driving her around the city, so she will have no transportation expenses. While I'm going to work on the weekdays, she will remain in my house until I return home, after which we will go out and hang out together. This way, I will still be earning an income and supporting both of us while she is here. I'm a 4th year electrician earning about XXXXXXXXX a year, working at my current company for over 2 years, and I also have a healthy bank balance. On weekends, we plan to take trips to Sylvan Lake and Lake Louise (see Purpose of Visit document). All food, entertainment, and other miscellaneous expenses will be taken care of by me. XXXXXXXX will still bring lots of funds into Canada, but they will not be used at all, and will only serve as a backup source of funds. I've purchased for XXXXXXX , travel insurance (see attached proof) for the duration of her trip, a $150,000 policy, the maximum coverage available. Therefore, neither Canadian taxpayers nor myself will need to bear any unexpected medical costs for her. As mentioned before, XXXXXXXX plans to stay from August 29 to September 21, 2014. She will initially land in Vancouver, where I will meet her. We both plan on staying in Vancouver for the long weekend, and then return to Edmonton together. After 3 weeks, XXXXXXXXX will board a plane back to Ho Chi Minh City. If she is unable to get a visitor visa in time to buy plane tickets before August 29, we will just take the Vancouver trip on whatever future date she will arrive here, and take our weekend trips on a future date after that. Having considered XXXXXXX's travel history, strong family ties back in Vietnam, lack of criminal record, well paying and genuine occupation, detailed plans while in Canada, detailed plans of a future trip away from Canada, healthy amount of funds for her stay, proof of travel insurance, as well as my job and assets, I sincerely request that you could grant XXXXXXX a visitor visa into Canada. Thank you for your time. Best regards, XXXXXXXXXXX Click to expand...
To Whom It May Concern, My name is XXXXXXXXXX from Ho Chi Minh City, Vietnam, and I'm the wife of XXXXXXXXXX, my husband who is living in Edmonton, Alberta, Canada. I'm writing this letter in the hopes of demonstrating why I would like to apply for a visitor visa to Canada. My main purpose of applying for a visitor visa is to visit and spend time with my husband. He has visited me twice already in Vietnam, for the past two years, and in both visits, he has stayed for 2 months each time. It was very difficult for him to have to take so many unpaid months off work to visit me each time, so therefore, I would like to take the opportunity to spend time with him in Canada. I would like to stay in Canada for three weeks, starting from August 29 to September 21 of this year. My husband and I plan to have me living in his home in Edmonton, Alberta, where he will take care of all expenses, including mortgage, utilities, food, living expenses, and entertainment. He is a 4th year electrician with a salary of about XXXXXXXXXX a year with a healthy bank balance, no debts, and no dependents. On weekdays, he will continue to go to work while I stay at his house, so that he will continue to have an income during my stay. On weekends, we plan on taking a weekend trip to Vancouver together, a trip to Lake Louise, and a trip to Sylvan Lake with my husband‘s family. Vancouver trip expenses will be covered by my husband, while the Lake Louise and Sylvan Lake trips are only a few hours drive (see attached document “Plans While in Canada”). My husband will be my only source of transportation, so I will not have to spend on taxis or public transit. He will also buy me private health insurance during my stay. Any extra funds that I'm bringing to Canada will likely only be used as a last resort, as my husband has a good job and salary, and will take care of all expenses. My travel history includes trips to Singapore (twice), China, Malaysia, and the United States (had a valid student visa for a year). My family ties include my husband in Canada, and my father, mother, two older sisters, two brother-in-laws, two nieces, and relatives living in Ho Chi Minh City, Vietnam. I've lived with my immediate family my entire life in the very same house they are living in now, so my family ties back in Vietnam are still very strong. I understand that I currently have a family class permanent residence application ongoing with my husband, but this does not mean I plan to overstay my visitor visa and not return home. I've lived in Vietnam almost my entire life, I have virtually all of my friends and immediate family living there, my family ties are strong back home, and I will absolutely return home before my visa expires. My permanent resident application will likely take a long time to complete, and I don't want to be apart from my husband too often, therefore I only ask that I be given a chance to visit and spend time with him. I do not wish to ruin my permanent resident application by overstaying, this will only keep me and my husband apart longer, so you can be sure that I will absolutely leave Canada before my visa expires. Last, but not least, I have absolutely no intention of working during my stay, not only would that be a violation of the terms of my visa, but there is no need anyway as my husband is taking care of all my expenses. To show my further intention of not overstaying my visitor visa, I’ve attached another document (“Plans for trip to Europe in December 2014 “) that shows our detailed plans for our planned month-long trip to Europe this December. We haven’t bought any flight tickets or booked any hotels yet for this trip, as it is 6 months away, I still have yet to be approved for a Schengen visa, and we may decide to change our destinations in the future. I hope this letter will help convince you of my genuine desire to visit my husband and leaving Canada at the end of my stay. Thank you very much for your time. Click to expand...

Yes my wife got her visitor visa. She was married to me at the time, from Vietnam (a high risk country), yet she was able to get a multiple entry visa for 5 years. 1) Show evidence that you have family living in your country and/or in your house. Something like a household registry would do well. 2) Ask for 2-3 weeks, this will help for 2 reasons, improve your chance of being approved, as well you don't need to bring as many funds to Canada. My wife asked for 3 weeks, they gave her a mulitple entry for 5 years, so it's worth it to ask for less time. 3) Give detailed plans as to what you will do each day, look at my previous posts for some guides. 4) Your bank account cannot have any one putting their own money or you borrowing money from someone, the money has to belong to you 100%. Should have at least $1000/week of stay + cost of plane ticket. Also try to show proof that you own a house, business, or something valuable back home.

mikeymyke said: In my opinion, I think that letter is way too brief, not detailed enough, a lot of people get refused due to "Purpose of Visit", so it's best to make it right the first time. Take it from someone who was successful in getting a multiple TRV from a Vietnamese wife. Here is our letter: Click to expand...

House committee calls on DOJ, FBI to investigate doping by Chinese swimmers

A member of the Team China swim team at the 2020 Summer Olympics in Tokyo.

The House select committee on China has asked the Justice Department and the FBI to open a formal investigation into reports that nearly two dozen Chinese swimmers who had tested positive for a banned heart medication before the last Summer Olympics were allowed to compete after they were cleared by officials.

In a letter Tuesday, the House committee implored federal authorities to use their jurisdiction under the Rodchenkov Anti-Doping Act , a law that allows U.S. prosecutors to clamp down on doping at international sporting events that feature Americans as athletes, even if the alleged illegal activity happened in a foreign country.

“This scandal raises serious legal, ethical, and competitive concerns and may constitute a broader state-sponsored strategy by the People’s Republic of China (PRC) to unfairly compete at the Olympic Games in ways Russia has previously done,” the committee’s chairman, Rep. John Moolenaar, R-Mich., and the panel’s ranking member, Rep. Raja Krishnamoorthi, D-Ill., said in the letter addressed to Attorney General Merrick Garland and FBI Director Christopher Wray.

The letter cites a recent New York Times investigation concerning 23 Chinese swimmers who had tested positive for trimetazidine, a heart medication banned by doping regulators , months before the 2021 Tokyo Olympics. The Times reported that the swimmers were allowed to compete after Chinese officials authorized them and the World Anti-Doping Agency (WADA) declined to intervene. (NBC News has not independently confirmed the reporting.)

Chinese government officials and WADA have forcefully pushed back on the allegations.

In a news briefing in Beijing on April 22, Chinese Foreign Ministry spokesman Wang Wenbin blasted the “false information and reporting.” He said China’s Anti-Doping Agency concluded in 2021 that the swimmers could compete after finding they had “ingested the substance unwittingly from tainted food.” He insisted “the Chinese government has a zero-tolerance attitude toward doping.”

In a statement from April 20 , WADA said it was notified of China’s findings in June 2021 and then “carefully reviewed the decision” over a period of weeks, a process that included collecting scientific information on the substance and consulting with scientific experts. “Ultimately, we concluded that there was no concrete basis to challenge the asserted contamination,” Olivier Rabin, WADA’s senior director of science and medicine, said in a statement.

Trimetazidine is not authorized in the U.S., but it is used in some countries to help prevent angina, a type of chest pain caused by reduced blood flow to the heart. The drug could theoretically improve blood flow and help elite athletes perform for longer stretches of time.

Moolenaar and Krishnamoorthi argue in their letter that it is “imperative to assess whether these alleged doping practices were state-sponsored, which could warrant further diplomatic measures by the United States and the international community. Furthermore, with less than 100 days until the 2024 Olympic Games in Paris, understanding the full scope of the scandal is critical in ensuring our U.S. athletes are competing in a fair competition.”

The International Olympics Committee did not immediately respond to a request for comment on the letter.

The lawmakers conclude their letter by requesting a briefing to “better understand the alleged doping by Chinese swimmers and the potential cover-up by Chinese authorities and international organizations.”

The Rodchenkov Anti-Doping Act is named for Grigory Rodchenkov, the former head of the Moscow anti-doping lab and a key whistleblower who exposed Russia’s alleged scheme to cheat in the 2014 Olympics. The act was signed into federal law by former President Donald Trump in December 2020.
