When you want to send your PowerPoint presentation to others, it’s easier to do when the file size isn’t too big. You can compress, or zip , the file in Windows, which shrinks the size of the file but retains the original quality of your presentation. You can also compress the media files within the presentation so they're a smaller file size and easier to send.

Compress (zip) a presentation with Windows Explorer or File Explorer

Open Windows Explorer (Windows 7) or File Explorer (Windows 8, Windows 8.1, Windows 10, and Windows 11) in one the following ways:

Use the Windows Start menu: Right-click the Windows Start button, and select Open Windows Explorer (Windows 7) or File Explorer (Windows 8, Windows 8.1, Windows 10, and Windows 11). If you don’t see the Start button, move your mouse to the bottom-left corner of the screen.

Browse to the presentation you want to compress.

Right-click the presentation, and select Send to > Compressed (zipped) folder .

Right-click the presentation, click Send to, and click Compressed (zipped) folder.

Windows creates a new zip file and gives it an identical name as the PowerPoint file.

Send the compressed file to your intended recipient, who can then decompress the file just by clicking it.

Extract files or objects from a PowerPoint file

If you want to separately use files or objects from a PowerPoint presentation, such as videos, photos, or sounds, you can extract them by converting the presentation to a “zipped” file folder. Note, however, that you can't extract PDFs or .dotx files.

The following procedure works on Windows, but not on macOS.

Tip:  We recommend that you make a copy of your presentation first, and then do the following procedure on the copy. This ensures that your original presentation is preserved.

Before you do this procedure, make sure File Explorer is set so that it shows file names with file extensions.

The steps to set File Explorer (previously called Windows Explorer) to show file names with file extensions differs, depending on which version of Windows you have.

If you're using Windows 10 or Windows 8:

In File Explorer, on the View menu, in the Show/hide group, select the File name extensions check box.

If you're using Windows 11:

In File Explorer, on the toolbar, select View > Show , and ensure that File name extensions is selected. 

If you're using Windows 7, Windows Vista, or Windows XP:

In Windows Explorer, click Folder and Search Options . In Windows 7, this is under Organize . In Windows Vista and Windows XP, on the Tools menu, click Folder Options .

On the View tab, under Files and Folders , clear the check box for Hide extensions for known file types .

Open a presentation as a folder

To open a presentation as a folder, use Explorer to navigate to the folder containing the presentation that you want, and then do the following:

Click the presentation that you want, right-click it, and then click Rename .

Change the file extension ( .pptx ) to .zip . Press Enter to set the name, then click Yes in the Rename dialog box.

Double-click the zipped file to open an Explorer window for the content files.

The zipped file contains several folders, many of which contain information such as XML code or properties. Objects such as videos, sound files, or pictures are found in the ppt folder, in the media subfolder.

Double-click the media subfolder to open it, select file you want to extract, copy it, then navigate to a suitable folder elsewhere in your system, and paste the file there. 

Restore the original presentation

To restore the original presentation, repeat steps 1 and 2 in the procedure above, this time changing the file extension from .zip to .pptx .

Once it’s uploaded, you can send the link to whoever you want, and they will instantly gain access to it.

If it’s a particularly big document, you can even mix this option with the previous one. You can compress your PowerPoint presentation in a ZIP file, and upload the compressed version. This will make it easier and quicker for you to upload it, and for your receivers to download it.

3- PDF format

Converting your presentation to a PDF document is one of the easiest ways to compress your PowerPoint presentation in order to share it. It will immediately lower your file size and allow you to share it through all kinds of means, including e-mails.

However, one very important thing to take into account when using this method to compress a PowerPoint presentation is that you’re changing the file’s format. And this had both its ups and downs. For starters, this means that whoever receives it will not be able to access it as a PowerPoint presentation. Your slides will be converted to PDF pages, and while images and graphs will likely remain, any videos or voice notes in your presentation will not be added in the converted document.

We all come across a point in time when we have no idea how our PowerPoint file has become this one huge file in size. The worst part is that we realise this once we have completed our presentation and we need to send it to our client over an email!

Thus, we turn to the most common method that comes naturally to us to reduce the size of the file. That method is to compress our presentation file using a ZIP Compression creating a ZIP file.

But does a ZIP compression reduce the size of a PowerPoint Presentation? A ZIP compression does reduce the size of a PowerPoint file. However, it is not the most useful option as the most common reason for the big size of a PowerPoint file is the use of heavy images and videos. The ZIP compression DOES NOT affect the size of images or the videos.

Most modern formats for an image or a video such as a JPG file or an MPEG4 file already exist in a highly compressed state. Thus, using a ZIP compression tool for such file formats doesn’t really help.

The ZIP compression does reduce the size of the PowerPoint file when mostly text is used in it. But then again, if you are using mostly text in a PowerPoint file, you will most likely not need to compress your presentation with the main objective of reducing the file size.

So what should I do to reduce the size of a PowerPoint presentation?

In order to reduce the size of a PowerPoint Presentation, the most important step that we should take is to reduce the size of the images and video used inside the presentation and not necessarily compress the presentation. This can often be done using PowerPoint itself. The above video explains in detail how you could choose to compress the size of the media files used in PowerPoint.

The ideal method is, however, to make sure that you reduce the size of images even before you use it on your slides.

For Mac users, the file size of an image can easily be reduced by resizing the images using the default “Preview” application.

So, if a ZIP compression doesn’t reduce the size of a PowerPoint file that significantly, the question thus arises – is there even a need to use a ZIP compression for a PowerPoint file?

As it turns out, ZIP compression is great when you have multiple PowerPoint files to be sent. Instead of sending it one-by-one or separately, you can use a ZIP file to bundle all the three files together and send it as a single unit. This helps to avoid the scenario where the end-user either fails to notice or misses out on downloading one or more files from the different files that are sent.

Do I need to install any software to compress a PowerPoint file?

A standard ZIP compression doesn’t require you to install any additional software or an application on your computer. This is ZIP compression is by default part of the modern Windows or a Mac operating system.

However, there are other types of compression systems that exist such as RAR compression or 7zip compression. In order to use these compression tools, you will need to install an additional software on your computer.

There are tools like WinRAR for both Windows and Mac users which allow you to do so with ease.

How to compress a PowerPoint presentation?

The process to compress a PowerPoint file or any other file is quite simple.

First, open the folder in which you have the files that you would like to compress using the default compression system built-in your operating system. I’m am using a Mac, thus, showcasing the process for a Mac OS.

Once you have identified all the files that you would like to compress, simply select them all and press the right click on your mouse. From the dropdown, choose the “Compress items” option.

Upon selecting the compress item option, you will notice that a file named Archive.zip is created in your folder. This .zip file will contain all the items in the compressed format that you intended to ZIP.

The final step would be to rename the file. To do so, simply right click on the “Archive.zip” once again, and select “Rename” option. You will now get an option to rename the zip file. Type in the name that you intend to keep for your zip file and you’re done!

Once you are satisfied with the choice of shade showcased in the inner circle, you can click on the “Tables/Export” option on the right hand bottom corner of the screen as shown in the image above.

Does a ZIP compression reduce the quality of the PowerPoint file?

This is probably one of the most common questions that you might have while using a compression tool like ZIP.

There are mainly two types of compressions tools namely lossless compression and lossy compression. Tools like ZIP are considered to be lossless compression types. This means that using a ZIP compression will ensure that there is no loss of data or quality of the files which are compressed and files are 100% identical when decompressed.

Should I use ZIP compression or a RAR compression? What is the difference?

Okay, this is another question that is common among people who are looking to compress the files or folders using a compression software. Should a ZIP compression be used or a RAR compression be used? Or is there any other type of compression system which is better than the two?

First things first – ZIP and RAR are not the only two compression applications available as an option to the user. However, they are the most common options out there.

Difference between ZIP and RAR format?

Both ZIP and RAR are fairly effective compression algorithms. However, there are some differences between the two – 

  • ZIP format was initially released in 1989 whereas RAR was first released in 1993. ZIP algorithm is the older of the two compression systems. 
  • The ZIP format will create a .zip or .zipx file type. Whereas the RAR compression usually generates .rar file format. 
  • ZIP compression format is common because most operating systems offer built-in support for it. RAR format is also common. However, this requires you to use a commercial software which is not free.

So which one is better?

In an experiment conducted to verify the capability of the two compression formats, it was identified that a ZIP format was able to compress a file by 62% whereas the RAR format achieved a compression of 71%. Thus RAR was found to be more efficient and faster than ZIP format. In fact, another more advanced file compression system namely 7-zip was able to achieve a compression rate of 76% which was even higher than RAR format.

However, while both RAR and 7-zip were found to be more efficient and fast, ZIP compression algorithm has a sheer advantage with the fact that it is already built-in and comes bundled with most operating systems today. Thus, there is no need to download any additional software or even pay for its use.

In order to compress the size of a PowerPoint file, it is essential to look at what is causing the file to have a huge size. In most cases, it is found to be the heavy media used on the slides that cause the size increase. Thus, merely compressing a PowerPoint file, more often than not, will not help your objective to reduce the size of a PowerPoint file. How to reduce PowerPoint file size | Compress a PPT

Introducing the zip trick to reduce powerpoint file sizes.

PowerPoint files can be huge, and this can be a problem – for example if you are hoping to email the file some servers have size limits for attachments. There is a simple trick (thanks to Echo Swinford for the knowledge) using Zip to investigate what might be causing the problem. Let’s look at the process:

1. First, make a copy of the file

In File Explorer, select the PPT and Control-C, Control-V in the same folder.

2. Right-click on the copy and select Rename 

3. add the extenstion “.zip” to the very end of the file name.

Make sure to put the .zip after the existing file extension (.pptx) – do not replace it. The file now becomes a zipped folder. It’should read “filename.pptx.zip”

4. Now Unzip the folder to access the contents

5. click the folder “ppt” > “media”.

In the media folder you will see a list of all the image files in your presentation – jpegs, gifs, MP4s etc. Sort by Size or Compressed size , so you can see the largest easily.

6. Change view to large icons, or double click on the images, to identify them

Once you’ve identified which images are pushing up the MB count, go into your original presentation and reduce the file size for each image in PowerPoint. Select the image and in the Picture Format tab click on Compress Pictures.

Choose “Apply only to this picture” to keep a better control of image quality throughout. Of course you can choose to compress all the pictures but sometimes the PowerPoint compression tool can give a low quality result.

You can also delete the cropped areas of the pictures. The tool here gives a guide on recommended resolutions – we go for 150 ppi if a small file size is crucial.

Obviously you can also use PhotoShop to really keep control on image quality and size.

7. Resave your presentation and check the reduced file size

So that’s how you use Zip to reduce the file size in PowerPoint!

Now you can delete the Zip folder and you’re done!

How to Embed ZIP Files in PowerPoint

If you are creating a complex PowerPoint presentation and want people to be able to double-click an object on your slide and view multiple files and folders, you must embed a ZIP archive into your project. PowerPoint enables you to add one or more of these archives with ease, and you can then drag the ZIP file around the slide to position it anywhere you want.

  • Launch PowerPoint on your computer.
  • Create or open a presentation.
  • Select the slide where you want to embed the ZIP archive by clicking on it in the left pane.
  • Click the "Restore Down" button in the top-right corner of the PowerPoint window, next to Minimize.
  • Open the Start menu and click "Computer" to start the native Windows 7 file manager.
  • Use the file manager to locate the ZIP file, but do not minimize the PowerPoint window.
  • Drag and drop the ZIP file from the file manager window onto the PowerPoint slide to embed it. You might have to move one of the windows first to see them both side by side.
  • Click and drag the ZIP file icon around to place it anywhere on the slide.
  • Expand the File menu and click "Save" to save your presentation.
